DH Pace Company, Inc. in Loveland, CO, is seeking an Entry Administration Support to help back our team. You will be a great representation of our company by communicating with our residential customers to ensure we have all the right paperwork needed to support our Residential Team.

This position requires excellent computer skills with the ability to multi-task in a fun fast-paced working environment. If that is you, we need you to join our team

Pay range for this position: From $20 an hour based on experience.

Job Responsibilities:

  • Work closely with executives, operations, and sales team by providing administrative support.
  • Backing up our receptionist by receiving calls from customers that require service/sales, identifying the type of call, and type of problem.
  • Transferring callers to the correct departments.
  • Enter information in the service ticket that allows the dispatcher to send a qualified technician to the job site with information about the problem prior to their arrival to the job site.
  • Gather accurate information from the customer to ensure accurate billing.
  • Promote all products, services, and quotes when appropriate.
  • Communicate with customers, supervisors, and other office personnel in an effective and timely manner and problem solving by using good judgement.
  • Enter sales orders and create projects for our installation team.
  • Verifying information on signed quotes, purchase orders, and contracts
  • Send appropriate documents to our legal team for review and get any changes back to our customers.
  • Ensure we have received executed copies after moving projects along to installation.
  • Collect deposits when necessary.
  • Attend weekly meetings with Sales and Operations and update project notes as needed.
  • Create invoice batches for completed projects ensuring the project billing matches signed quotes, purchase orders, or contracts.
  • Complete corrections from the Manager as necessary to generate customer invoices.
  • Submit billing to appropriate customer methods; billing portals, emailed payment applications, or mailed invoices.
  • Other duties as assigned.

Job Requirements:

  • High School Diploma or equivalent
  • Detailed oriented team player with good interpersonal skills
  • Ability to multi-task and work efficiently in a fast-paced work environment
  • Must be proficient in Microsoft Office
  • Computer proficient
  • Positive Attitude
