Position Details: Part-Time, Monday-Friday 12pm-5pm and weekends as needed

Job Summary:

We are seeking a proactive and detail-oriented individual to join our team as an Evening Dispatcher/Back-up Courier. This role primarily involves dispatching duties in the evening shift, along with providing backup support for courier services as needed. The ideal candidate will possess excellent communication skills, organizational abilities, and a commitment to ensuring efficient operations within our courier service.

In this dynamic position, responsibilities include assigning drivers and vehicles to cover daily routes, coordinating with clients to meet their specific needs and adhering to regulatory standards and company policies. Experience and judgment are relied upon to plan and execute assignments efficiently, with all data accurately entered into our computer database for record-keeping. A multitasker with excellent verbal communication and customer service skills will thrive in this fast-paced environment, both independently and as part of a collaborative team. Additionally, essential backup support for courier routes will be provided as needed, demonstrating flexibility and dedication to maintaining operational excellence.

General Responsibilities:

• Answer incoming calls and coordinate pickups for couriers, ensuring accurate input of order information into the computer system.
• Input raw data for client courier billing as directed and reconcile gas receipts to invoices.
• Fulfill supply orders for clients and input supply orders into the eCourier system.
• Assist couriers in logging specimens to maintain timely delivery schedules.
• Sort reports from the printer for distribution in the morning shift.
• Restock kitchen and bathroom supplies as needed to ensure a clean and organized work environment.
• Provide assistance with extra callouts in the area, including handling STAT orders and assisting with slides going out to various hospitals.
• Process returns for the Sendout department and retrieve blocks and slides from the warehouse as required.

Courier Responsibilities:

• Adjust routes and pickups daily based on department staffing to meet client needs, including handling urgent STAT requests.
• Inform drivers of assignments promptly and maintain accurate assignment records in the eCourier database.
• Exhibit outstanding customer service skills when dealing with clients and dispatching couriers.
• Exercise sound judgment to identify and address issues, promptly alerting department managers as necessary.
• Provide comprehensive training to new couriers on department policies, procedures, and routes as needed.
• Serve as a reliable backup courier, transporting medical specimens and supplies between various locations while ensuring their proper care.
• Strictly adhere to safety requirements and departmental policies and procedures.
• Attend department meetings and training sessions as required.

Additional Duties:

• Serve as additional backup support when more than one courier is absent during the evening shift, helping to minimize overtime.
• Provide additional coverage when the dispatch or supervisor is absent, ensuring continuity of operations and minimizing disruptions.

Qualifications:

• Must be at least 24 years of age.
• High school diploma or equivalent; additional qualifications in logistics or administration are a plus.
• Valid Louisiana driver's license with a demonstrated record as evidenced by Motor Vehicle Report (MVR).
• Physical capability to lift weights ranging from 20 to 75 lbs.
• Previous experience in dispatching, courier services, or a related field is preferred.
• Proficiency in computer systems and data entry, with experience using courier management software being advantageous.
• Strong organizational skills and attention to detail, with the ability to multitask effectively in a fast-paced environment.
• Excellent communication and interpersonal abilities, with a customer-focused approach to service delivery.
• Flexibility to work holidays or weekends and provide backup support as needed.
