Purpose

The Medical Records Clerk will work with the Health Information Management Specialist to ensure timely scanning and indexing of patient medical records in the electronic health record. This position will provide excellent customer service and must always safeguard and protect the patient’s right to privacy by ensuring that only authorized individuals have access to the patient’s medical information and comply with company policy and HIPAA regulations at all times.

Essential Duties and Responsibilities

  • Scan and index paper information into the patient electronic medical record (EMR.)
  • Reviews and finalizes documentation to determine all information is present prior to scanning into the patient electronic health record.
  • Maintain confidentiality and security with all restricted information.
  • Respond to requests for patient records, both within the facility and by external sources, retrieving them and transmitting them timely and appropriately.
  • Assist in admission, transfer, and discharge procedures as necessary to provide requested records.
  • Answer incoming telephone calls.
  • Assist with administrative duties such as handling fax and mail records requests.
  • Develop and sustain good working relationships with other departments to assure that medical records can be properly maintained.
  • Must adhere to FHLC policies and procedures.
  • Regular and Reliable Attendance.
  • Other duties as assigned.

Minimum Qualifications

  • To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
  • This position requires an individual to work independently as well as in a group setting.
  • The individual must be able to work under pressure and professionally handle stressful situations.
  • The individual must possess analytical skills as well as excellent problem-solving skills.
  • The individual must always maintain patient confidentiality while performing job duties.
  • The position requires the ability to establish and maintain effective working relationships with providers, other employees, as well as the general public.

Education/Experience Requirements

  • High School diploma or equivalent required.
  • Minimum 1 year experience working in Health Information Management (HIM) or medical records in a healthcare setting preferred.
  • Previous experience working with an EMR preferred.
  • Previous experience or knowledge of Federally Qualified Health Centers (FQHC) preferred.
  • Excellent Customer Service skills required.
  • CPR certification required within six months of hire.
