Office Administrator

Primary Job Responsibilities:

  • Performs daily Secretarial tasks (answering phones, taking messages & accepting mail delivery)
  • Works with the Service Department, creating service request letters and invoices as well as assisting with scheduling service technicians.
  • Assists the Service Department with purchasing material with accuracy and timeliness.
  • Assists the Payroll & AP/AR Departments with scanning and data entry. Assists with overall Payroll processes, as necessary.
  • Maintains professional relationships with clients.
  • Assists the Estimating team with data entry into estimating software.

Qualifications:

  • Advanced organization skills and ability to prioritize tasks.
  • Ability to handle multiple tasks simultaneously and adapt to organizational needs.
  • Excellent customer services skills and maintains confidentiality.
  • Strong leadership & analytical skills.
  • Ability to work independently and within a team, always be a team player.
  • Experience in the construction or mechanical industry a major plus.
  • Punctuality and dependability are a must.
  • Computer skills and proficiency in MS Office, Outlook and Sage are ideal but willing to train.
  • Willingness to learn new software as may be required.
