Customer Service Representative

Summary This role provides data entry and administrative support to our team and customers as a Customer Service Representatives. The idea candidate is meticulous and detail-oriented while processing orders, preparing correspondence and fulfilling customer needs to ensure customer satisfaction by performing the following duties.
Essential Duties and Responsibilities include the following.
- Input customer orders into ERP system with careful attention to detail to ensure accuracy while maintaining productive workflow
- Send order confirmations & acknowledgements to customers within 24-hours via email and/or through EDI systems
- Relay orders to shipping and production team to ensure an on-time delivery
- Update and verify data in ERP system to ensure accuracy and completeness
- Interact with customers via phone, email, or chat to provide prompt and effective support
- Resolve customer inquiries, issues, and complaints with professionalism and empathy
- Provide status updates on orders as needed by interacting with shipping and production managers to ensure orders are properly filled and shipped on time
- Works directly with shipping and logistic carriers on needs, rescheduling of orders, notifying customers of shorted orders, assist with scheduling appointments and other various tasks needed by shipping
- Facilitates and distributes sample paperwork.
- May be assigned to run volume reports for customer service or sales department.
- Assist in preparing paperwork for international exports to Mexico and Canada.
- Assists with updating customer price lists. It is expected that you will notice expiration dates on price lists for customers and bring it to the attention of the customer service and sales support teams
- May assist in completion of contract forms, prepare change of address records, and issue discontinuance orders
- Maintain confidentiality and security of sensitive customer information
- Performs other duties, as needed.

Education and/or Experience
High school diploma or general education degree (GED); At least one year of related experience.
Language Skills
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to employees of the organization.
Computer Skills
To perform this job successfully, an individual should have accurate typing skills of 35wpm or more. Proficient in utilizing Microsoft Office Word Processing software and Spreadsheet software. Able to use Order processing systems.
Other Skills and Abilities
Must be extremely thorough and detailed with order entry. Must have the ability to communicate with the other customer service representatives within the department and director. Strong organization skills are required. Ability to operate simple office equipment sufficiently to perform the job.

While performing the duties of this job, the employee is regularly required to sit and talk or hear. Position requires heavy use of keyboard. The employee is occasionally required to stand and walk. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
