SUMMARYPerform all activities required to ensure employees are paid timely, accurately, and fully as prescribed by Carel pay policies and by local, state, and federal guidelines. Calculating payable hours, bonuses, tax withholdings, garnishments and deductions. Ability to report on HR budgeting needs. Update employee records in ADP. Track training and analytical reporting as needed.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. Responsibilities and activities may change at any time with or without notice.

  • Ensures timely processing of all staff payroll in accordance with labor regulations and standard accounting principles. Develops systems and protocols to direct the collection, calculation and entering of pay data.

  • Maintains updated procedure manual for payroll processing and assists in training of other staff on the payroll system (ADP) in a “super-user” role, to troubleshoot general user questions or basic technical issues.

  • Keeps abreast of current payroll tax requirements and relevant laws associated with the processing of employee wage data, including payroll taxes, employee federal and state income and social security taxes, and other required reporting (SUI, workers compensation, deferred benefits, etc.).

  • Advises management on pay practices related to FLSA, fringe benefit reporting, W-9 and W-4 recording.

  • Processes monthly, quarterly, fiscal year-end reports and reconciles W-2 information for accuracy. Reports errors in payroll accounting to the proper management representative. Documents any discrepancies in payroll processing to maintain a clear record of reconciliation and adjustments.

  • Works with the Human Resources department to coordinate employee leaves of absence under FMLA, CFRA or other unpaid leaves. When requested, keeps accurate records of employee unemployment and disability insurance payments to ensure no overlap in state benefits and wage payments occur.

  • Processes wage garnishments, pay levies, and other involuntary court-ordered payments in a timely manner, including reporting to the necessary State office or jurisdiction and assisting employees with general process questions.

  • Works with current pay vendor (ADP) for technical issues with time-reporting systems.

  • Supports the annual budgeting process by working closely with CFO, HR Officer, and Management in analysis of payroll costs by department / cost center.

  • Performs filing and upkeep of employee payroll records.

  • Updates all employee files in ADP including transfers, promotions, supervisor changes, and other employee updates

  • Tracks training for all CAREL USA and creates reports for HQ audit

  • Maintain staffing and budget sheets associated for staffing reports

  • HCM entries, upkeep and monthly, quarterly and yearly reports to support HQ

  • Turnover, headcount, staffing and other analytic reports to support HR and HQ needs

QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each ESSENTIAL DUTY satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

  • Education: High school degree or equivalent. Associates degree in Business, Accounting preferred
  • Language and Communication Skills: Strong verbal and written communication
  • Mathematical Skills: Strong numeracy skills
  • Multitask effectively
  • Reasoning: Strong
  • Certifications Required: Payroll related certifications preferred
  • Experience: 5 years direct experience. Google docs and excel working knowledge required
