The Project Compliance Assistant  plays a crucial role in ensuring accurate and timely processing of timecards and billing for the organization. Reporting to Project Compliance, this position is responsible for assisting with contract administration to ensure accurate data is sent to payroll and preparing labor reports for compliance with prevailing wage payroll regulations and contract requirements.

Essential Job Duties


  • Timecard processing and hours entry for payroll, including prevailing and certified wage jobs, prepare related reports in all applicable systems (L&I, LCP Tracker etc.)
  • Prepare intent & affidavit filings 
  • Maintain fringe benefit spreadsheet
  • Invoicing customers
  • General project support including maintaining spreadsheets
  • Review customer contract requirements and prepare and assist with required documentation for contract compliance; calculate progressive project costing if needed
  • Maintain rate sheets; coordinate with others to ensure proper billing and collection of contractual revenue
  • Assist with miscellaneous tasks as assigned
  • Analyze contracts to properly invoice customers; prepare invoices and submit to invoicing systems (SourceHub and Coupa).
  • New customer and sub-contractor setup as needed; order certificates of insurance
  • Maintain detailed and organized files
  • Develop and prepare regular reports on the status of contracts, hours worked 
  • Track customer payments and deadlines
  • Other projects as assigned


Qualifications

  • Knowledge of payroll administration, including state and federal regulations, such as prevailing wage experience, multi-state preferred
  • Knowledge of basic accounting practices
  • Demonstrated professionalism, strong communication and listening skills
  • General knowledge of employment laws and practices required
  • Ability to handle multiple projects simultaneously within time constraints, with accuracy and attention to detail
  • Excel, Word, and spreadsheet proficient; prior experience using quick books
  • Professional phone etiquette and outstanding interpersonal skills
  • Advanced problem-solving skills and analytical thinking

As this is considered a safety sensitive position, pre-employment drug testing including THC metabolites will be conducted.
