Monitor reports for incomplete or missing information in our databases then research and complete the records, maintain the monthly recurring service reports across all service divisions, work with service coordinators and account representatives to ensure quote generation and quote approvals for recurring services are processed in our agreements module.

Responsibilities:
  • Activation of recurring service quotes, creation/maintenance of related agreements and sales orders upon quote approval.
  • Logging, monitoring, and follow up of account representative feedback for timely quoting activity to support recurring services.
  • Generation of recurring service sales orders far enough in advance to allow the service coordinators to obtain work order approvals each month.
  • Assist as necessary with obtaining work order approvals.
  • Pricing updates on recurring service templates after price card updates or pricing changes have occurred.
  • Distribution of multiple reports to management, service coordinators, and account representatives.
  • Quality control of database information to include population of data to eliminate missing data fields, spelling corrections, punctuation corrections, and removal of duplicates.
  • Log and grant ShareFile access to qualified clients as required.
  • Data entry of information in assorted templates and software platforms.
  • Provide back up and assistance for answering incoming calls on a multi-line phone system.
  • Additional responsibilities to be assigned as required or needed.

Qualifications:
  • Must be organized, detailed, and accurate.
  • Proficiency in Microsoft Excel and the O365 suite of applications.
  • Touch typist of alpha and numeric content.
  • Computer and communication skills are a must.
  • Must be dependable, able to work independently, good at multi-tasking, and a team player.
  • Able to adapt to a changing workflow environment.
