The Multi-Market Administrator I, working closely with Analysts, Sales Consultants, Brokers and Carriers, under general supervision, is responsible to apply carrier guidelines and internal procedures to new business census enrollments, renewal census enrollments, audit census enrollments completed by other team members, help assemble RFQs, assemble kits and binders, update CMH when applicable, help assemble and close out files for finance approval, respond to telephone and written inquiries and initiate steps to assist callers regarding general issues. The Multi-Market Administrator makes independent decisions within Warner Pacific and carrier guidelines and procedures.

Overview of Responsibilities

In support of maintaining group submissions, the Multi-Market Administrator will actively support the Multi-Market Analysts and co-workers from the beginning of a RFP/RFQ to submission end, including but not limited to the following:

  • Assist with the assembly and continued maintenance of RFP/RFQs in the online RFQ tool, GAIT, FileHold, Salesforce, and other tools as needed
  • Thoroughly transfer enrollment data from paper applications or census templates to carrier specific census enrollments
  • Audit census enrollments completed by other co-workers
  • Audit all carrier rates, rosters, bills & other carrier submission documents to identify any discrepancies
  • Assemble and close out files for finance approval
  • Update CMH with new forms and carrier collateral
  • Assemble kits, binders and benefit booklets
  • Assist other departments with follow-up and filing
  • Respond promptly to all internal and external communications, such as client or management e-mails and phone messages, ideally within no more than 4 hours of receipt
  • Develop knowledge of carrier guidelines, forms/applications, submission and completion deadlines as it relates to the administrator activities
  • Maintain a minimum average of 95% quality for census enrollment audit results on a running quarter basis
  • Provide back up in other areas within the department/company as needed/requested
  • Other activities as assigned

Additional Skills and Requirements

  • Must be able to work additional hours beyond regular work schedules as necessary during our peak season to meet commitments to our customers and business needs (including holidays and weekends)
  • Minimum of a High School Diploma; advanced education or degree preferred
  • Prior experience resulting from a combination of education and/or experience that would provide an equivalent background in terms of Multi-Market Administrator knowledge and experience is desired
  • Excellent written and oral communication and interpersonal skills
  • Ability to understand and demonstrate the use of computer system, computer programs and office equipment as necessary, including ability to type a minimum of 30-35 wpm and proficiency in the use of a 10 key
  • Ability to work a minimum of 8 hours per day, Monday through Friday, generally with shift start times between 8:00-8:30 a.m., as determined by senior management
  • Ability to work overtime, holidays and weekends as requested by senior management
  • May require occasional in/out of state multi day travel
  • High level planning, organizing and time management skills
  • Analytical skills leading to alternative coverage option considerations, with the same or other carriers

Compensation:

Annual Hourly Range*: $22.39 - $29.86 p/hour

  • Actual compensation may vary from posting based on work experience, education and/or skill level.
