Accounts Payable Specialist

Under the supervision of the Fiscal Director, the Accounting Specialist performs a variety of specialized tasks involving the preparation and processing of on-going accounts payable. This is a non-exempt position.
DUTIES/RESPONSIBILITIES:
- Ensure that fiscal policies and procedures are followed by staff.
- Possess knowledge of current rules, regulations, and procedures governing the accounting field.
- Assist with the preparation for annual audit and reviews.
- Perform other duties necessary to the efficient operation of the agency as required.
Accounts Payable
- Process accounts payable weekly. Involves writing, coding and entering vouchers, reconciling credit card statements, running checks and filing paid vouchers.
- Maintain vendor list with authorized signatures.
- Assist with payroll bi-weekly.
- Track food receipts for Child Care Food Program and process monthly report.
- Track and order specific credit cards.
- Track inventory for main office and sites.
- Track and maintain balances for staff budgets
- Track Purchase Orders.
- Implement cost allocation plans and on-going adjustments.
- Post and balance the site accounts.
- Process 1099s at year end.
- Other duties as necessary.
QUALIFICATIONS:
- High School graduate or equivalent and three years bookkeeping experience. Related college coursework desirable.
- Ability to organize and schedule complex tasks, develop and maintain tracking systems, communicate and receive complex instruction and complete tasks that require high levels of interdependence on other team members.
- Writing skills used in financial reports, bills and short correspondence.
- Reading skills to understand instruction manuals, procedure manuals, codes and computer manuals.
- Computer skills for data entry, generation of reports, and payroll.
- Ability to treat matters in a confidential manner, i.e. payroll, billings, accounts payable.
- Must be willing to work flexible schedule as the need arises.
- Possession of:
- valid driver's license
- evidence of current automobile liability insurance
- good driving record.
Physical Requirements
- Must successfully complete a health screening no later than 7 days following the date of hire.
- Physical ability to lift and carry objects up to 25 pounds.
- Physical agility to bend, stoop, walk, reach overhead, push/pull, squat, twist, and turn.
Must have a current Criminal Record Clearance with current Child Abuse Index Check on file with Community Care Licensing, or provide fingerprints and a Child Abuse Index Check prior to the first day of work in order to obtain a Criminal Record Clearance from the Department of Justice.
