Job DescriptionJob Description

Under the supervision of the Fiscal Director, the Accounting Specialist performs a variety of specialized tasks involving the preparation and processing of on-going accounts payable. This is a non-exempt position.

DUTIES/RESPONSIBILITIES:

  1. Ensure that fiscal policies and procedures are followed by staff.
  2. Possess knowledge of current rules, regulations, and procedures governing the accounting field.
  3. Assist with the preparation for annual audit and reviews.
  4. Perform other duties necessary to the efficient operation of the agency as required.

Accounts Payable

  1. Process accounts payable weekly. Involves writing, coding and entering vouchers, reconciling credit card statements, running checks and filing paid vouchers.
  2. Maintain vendor list with authorized signatures.
  3. Assist with payroll bi-weekly.
  4. Track food receipts for Child Care Food Program and process monthly report.
  5. Track and order specific credit cards.
  6. Track inventory for main office and sites.
  7. Track and maintain balances for staff budgets
  8. Track Purchase Orders.
  9. Implement cost allocation plans and on-going adjustments.
  10. Post and balance the site accounts.
  11. Process 1099s at year end.
  12. Other duties as necessary.

QUALIFICATIONS:

  1. High School graduate or equivalent and three years bookkeeping experience. Related college coursework desirable.
  2. Ability to organize and schedule complex tasks, develop and maintain tracking systems, communicate and receive complex instruction and complete tasks that require high levels of interdependence on other team members.
  3. Writing skills used in financial reports, bills and short correspondence.
  4. Reading skills to understand instruction manuals, procedure manuals, codes and computer manuals.
  5. Computer skills for data entry, generation of reports, and payroll.
  6. Ability to treat matters in a confidential manner, i.e. payroll, billings, accounts payable.
  7. Must be willing to work flexible schedule as the need arises.
  8. Possession of:
    • valid driver's license
    • evidence of current automobile liability insurance
    • good driving record.

Physical Requirements

  1. Must successfully complete a health screening no later than 7 days following the date of hire.
  2. Physical ability to lift and carry objects up to 25 pounds.
  3. Physical agility to bend, stoop, walk, reach overhead, push/pull, squat, twist, and turn.


Must have a current Criminal Record Clearance with current Child Abuse Index Check on file with Community Care Licensing, or provide fingerprints and a Child Abuse Index Check prior to the first day of work in order to obtain a Criminal Record Clearance from the Department of Justice.
