Responsibilities and Duties
  • Answer all incoming phone calls to the branch. After screening the call transfer to the appropriate department or staff member.
  • The standard posting of labor to the appropriate work orders, assisting service management with writing work order resumes, posting needed expenses to work orders if required.
  • Handle the branch required UKG labor posting for service staff. Any other administrative payroll function required by the HR department.
  • Handle the coding, posting, and processing of non-parts and service-related invoices such as office supplies, building maintenance invoices, uniform invoices, and general invoices that need processed for payment.
  • Coordinate the documentation and internal processing of warranty related submissions to the CEC Warranty Department.
  • Process cash and check payments from the parts, service, and sales departments including deposits to CEC’s bank and informing CEC accounts receivable team of deposits, etc.
  • Custodian of the petty cash box including monthly reconciliation and check request (with attached invoices) for petty cash replenishment.
  • Various other duties involved with daily operations including but not limited to, assisting with machine delivery, and receiving reports, credit card daily batch, ordering of needed office supplies, and organization of supply closet and literature cabinets.
Qualifications
  • High school diploma or GED equivalent, with college or trade school preferred.
  • Minimum of 2 years’ experience in an office setting in an administrative role
  • Working knowledge of heavy equipment, attachments, and customer applications.
  • Ability to change priorities and remain productive in a fast-paced work environment.
  • Perform duties with a sense of urgency, exceeding customer expectations.
  • Ability to always maintain a professional and positive attitude
  • Ability to work with various departments and foster teamwork.
  • Excellent organizational skills.
  • Excellent knowledge of computer software and applications, including Microsoft Office.
  • Flexible to work after hours when needed to meet customer needs.
  • Excellent written and verbal communications skills.
  • Ability to successfully pass a Drug Test and Background Check.
Physical Requirements
  • Must be able to adhere to prolonged periods of sitting at a desk and working on a computer.
  • Must be able to speak and write English, and hear to communicate.
  • Must be able to lift 15 pounds occasionally.
  • Must be able to use hands to operate office equipment.
