Project Coordinator

Primary Function: Perform administrative duties for divisional and project management teams.
Responsibilities:
- Assists with preparing, coordinating, printing, distributing, tracking, filing and archiving project delivery and construction phase administration files and documents throughout the project life cycle.
- Manages, and takes ownership of duties, calendars, and overall organization in a strong support capacity.
- Consults with Project Managers to complete all required documentation to initiate project start up and closeout.
- Prepares, tracks, and electronically files contract documents.
- Documents project submittals.
- Updates and maintains technical lists and various information databases.
- Verifies subcontractor insurance coverages.
- Assists with creating and maintaining Job Cost reports.
- Edits/proofreads miscellaneous technical letters, correspondence, reports, and other materials.
- Assists with formal responses to requests for proposals and requests for qualifications.
- Promotes integrity, honesty, hard work, safety, and quality throughout all aspects of the project and is a professional representative of M. B. Kahn.
- Performs additional assignments as directed by management or as required for successful project completion.
Required Skills/Abilities:
- 4+ years’ experience as an administrative assistant, preferably in the construction industry.
- Knowledge of AIA software and certificates of insurance are a plus.
- Ability to manage multiple priorities and work in a fast-paced environment while maintaining focus and attention to detail.
- Excellent customer service and interpersonal communication skills.
- Strong Microsoft Office skills including Word, Access, Excel, PowerPoint and Publisher.
- Ability to work independently, self-starter.
- Ability to keep information organized and confidential.
Associates degree or higher preferred.
