POSITION TITLE: Human Resources Coordinator

DEPARTMENT: Human Resources

FLSA STATUS: Non-Exempt

REPORTS TO: Director of Human Resources


GENERAL DESCRIPTION OF DUTIES

The purpose of this position is to support the Agency’s needs by providing administrative and generalist support to the Human Resources Department. This role will be responsible for completing project-related activities, managing the credentials of applicable employees and departments, serving as the main point of contact for the initial stages of the Leave of Absence, creating on-boarding profiles in the HRIS system, and other critical clerical duties as assigned. As a member of the Human Resources team, this role provides high-level administrative support to all members.

SPECIFIC DUTIES AND RESPONSIBILITIES

ESSENTIAL JOB FUNCTIONS

  • Work collaboratively with key business partners, human resources representatives and others to ensure all new hires are properly inputted in the HRIS system and coded from a payroll and compensation perspective.
  • Responsible for managing employees’ expired documents, maintaining reports, communicating with managers, and ensure proper recordkeeping.
  • Conducts reference checks for HR as needed.
  • Responsible for managing all credentials for appropriate employees and departments. Serves as the recordkeeper and main point of contact for all auditing and regulatory authorities.
  • Manages the on-boarding process inclusive of ensuring appropriate paperwork is received, documented properly, and included in personnel files.

  • Provides employment information and answers questions regarding Job Openings in the Agency. Responsible for creating bi-weekly communication to external agencies, organizations, etc. regarding vacancies and volunteer opportunities.
  • Ensures quality assurance for all digital files.
  • Processes entry-level transactions in the HRIS system.
  • Provides administrative support to Human Resources and Payroll Staff.
  • Utilizes Microsoft Word to create a wide variety of correspondence, notes, memorandums, drafts, charts, mail merges and forms following proper format for Human Resources and Payroll.
  • Utilizes Microsoft Excel to create and maintain various Microsoft Excel spreadsheets.
  • Schedules appointments and arranges meetings.
  • Provide high-level support to the Human Resources Generalist team.
  • Operates a variety of office equipment.
  • Reacts appropriately to fire and emergency preparedness drills and events according to policies.

MINIMUM TRAINING AND EXPERIENCE

Education: High School Diploma required. Associate degree in Business preferred. Education may be substituted for 10 years of progressive, administrative experience.

Minimum Years of Experience: Minimum of three (3) years’ experience in an office environment preferably in a Receptionist role managing a multi-line telephone system.

Demonstrated Skills: Excellent oral and written communication skills are required. Customer service, Microsoft Outlook, Word, Excel experience required. Bilingual (Spanish speaking) preferred.

ADA COMPLIANCE

Physical Ability: Tasks involve the ability to exert very moderate physical effort in light work, typically involving some combination of stooping, kneeling, crouching and crawling, and which may involve some lifting, carrying, pushing and/or pulling of objects and materials of moderate weight (12-20 pounds).

Sensory Requirements: Some tasks require visual perception and discrimination. Some tasks require oral communications ability.

Environmental Factors: Tasks are regularly performed without exposure to adverse environmental conditions, such as dirt, dust, pollen, odors, wetness, humidity, rain, fumes, temperature and noise extremes, machinery, vibrations, electric currents, traffic hazards, animals/wildlife, toxic/poisonous agents, violence, disease, or pathogenic substances.
