The Job: The Volunteer Operations Manager is responsible for overseeing the day-to-day functions of the Volunteer Office and the Museum's Science Snoozeums. 

This is a fulltime position with a Tuesday - Saturday schedule and will supervise the Volunteer Office Coordinators. Please note this role requires working on weekends and holidays, and some evenings. 

Responsibilities

  • Manage the development and implementation of an active, comprehensive, and expanded volunteer program and the engagement of new volunteers.
  • Manage all aspects of the Science Snoozeum programs such as: scheduling, registration, communications, staffing, order and delivering, staying overnight through morning clean-up and close out of the event including issuance of next-day tickets.
  • Manage and direct Museum employees during each Snoozeum.
  • Receive and fill volunteer requests originating from Museum departments; ensure all requests comply with policies, practices and legal requirements for volunteers.
  • Oversee Information Desk operations and ensure sufficient volunteer coverage.
  • Maintain wage and non-wage budget and ensure timely and accurate submission of payroll.
  • Establish program goals for recruitment, retention, and performance, and provide regular progress reports of Museum volunteers.
  • Oversee the creation of recruitment literature, materials, and programs and the hosting of volunteer auditions and onboarding sessions.
  • Ensure guest-facing volunteers are on-brand regarding their daily uniforms and guest-readiness.
  • Manage training and coaching of volunteers including for new and updated volunteer programming, overseeing of placements, scheduling, and record-keeping of volunteers.
  • Keep abreast of current trends and issues related to volunteerism.
  • Oversee planning of volunteer recognition policies, programs, and events and ensure consistent volunteer communications, including newsletters, throughout the year.
  • Carry out supervisory responsibilities of Volunteer staff including interviewing, hiring, onboarding and training; assigning and director work; appraising performance, rewarding and disciplining employees; addressing complaints and resolving problems.
  • Conduct investigations and separation meetings; review and deliver corrective action memos.
  • Anticipate needs and opportunities and provide solution-based ideas to improve team performance and deliver and implement practical solutions.
  • Provide operational leadership to Guest Engagement leaders as needed to ensure leadership coverage during unexpected rushes, breaks, and call-offs; collaborates with other leaders to ensure a high standard of excellence in guest engagement and customer service.
  • Represent the Volunteer Office on various internal committees and work groups and advocate for the Volunteer Office's interests and guest engagement goals.
  • Address and resolve guests' needs, concerns, and complaints, assuring they are settled in a positive, timely, and appropriate manner.
  • Other duties as assigned.

Qualifications

  • Five (5) to Seven (7) years related experience with at least three (3) years managing people (e.g. employees, volunteers, etc.). Bachelor's degree preferred.
  • Strong interpersonal and leadership skills; proven track record of strong people management, especially in the field of volunteers.
  • Exceptional communication skills, both oral and written, to communicate in a dynamic and engaging way.
  • Detail-oriented and ability to juggle multiple projects and meet deadlines is required.
  • Prior improv, teaching and/or program or curriculum development experience a plus.
  • Must be creative and dynamic and demonstrate enthusiasm, initiative, flexibility and openness to new ideas.
  • Strong teamwork and interdepartmental collaboration skills; ability to work in diverse teams required.
  • Must be flexible in working in multiple environments throughout the Museum.
  • Ability to deal with complex problems that may involve volatile situations.
  • Skilled at engaging guests and ensuring all feel included.
  • Requires weekends, holidays, evenings and overnights.
  • Language:
    • Ability to read and interpret documents such as instructions and procedure manuals 
  • Mathematical:
    • Ability to calculate figures and amounts such as percentages, area, circumference, and volume.
  • Reasoning:
    • ​​​​​​​Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • ​​​​​​​Physical:
    • Ability to perform various functions such as walking/moving across uneven surfaces, climbing stairs, pushing, carrying, seeing in varying light conditions, and participating in some physical activities; must be able to move safely throughout the Museum.
    • While performing the duties of this job, the employee is regularly required to use hands to finger, handle, or feel and talk or hear.
    • The employee is occasionally required to sit, climb or balance, stoop, kneel, or crouch.
    • The employee must occasionally lift and/or move up to 25 pounds.
    • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
  • ​​​​​​​Work Environment:
    • The employee may occasionally be in certain exhibit spaces with sensory characteristics such as moments of complete darkness or flashes of light, moments of loud noises like loud booms, operating machinery, bells ringing, and explosions. 
    • The employee may occasionally be in certain exhibit spaces that will have or may content advisories such as military violence and war themes, Nazism, or feature human specimens and other medical content.
    • The employee will work in spaces that will have large crowds including K-12 school groups.
