Job Description

The position of Payroll Coordinator is critical for the processing payroll and support of general HR activities.

Here’s what you can expect in the way of specific job responsibilities as well as time allocation estimates:

Payroll Administration (60%)

US Payroll (40%)

  • Accurately processes weekly, bi-weekly & monthly payroll for U.S. operations
  • Assists associates with payroll related issues and/or questions
  • Reviews W-2 forms to verify accuracy; ensures timely distribution/mailing of W-2 forms to associates
  • Transmits H.S.A withholdings to provider
  • Performs quarterly reconciliation of 941 to GL
  • Maintain employee benefit deductions in payroll system
  • Year-end tasks such as calculating and entering in payroll system vacation time, personal time, floating holidays for employees
  • Employee maintenance in payroll system (new hire, termination, changes)
  • Updates new employee wage rates and pay rate changes for existing employees

Canadian Payroll (20%)

  • Accurately processes bi-weekly payroll for Canadian operations
  • Assists associates with payroll related issues and/or questions
  • Reviews annual T-4 forms to verify accuracy; ensures timely distribution/mailing of T-4 forms to associates
  • Prepares and file applicable Canadian tax forms
  • Year-end tasks such as calculating and entering in payroll system vacation time, personal time, floating holidays for employees
  • Employee maintenance in payroll system (new hire, termination, changes)
  • Updates new employee wage rates and pay rate changes for existing employees

Administrative Support (40%)

  • Assists with Finance and HR office duties, including daily mail duty
  • Kindly administer apparel pick up and payment collection of employee orders
  • Supports Finance team with inquiries and requests
  • Supports annual Financial, 401k, W/C and IT audits on payroll specific matters

To be successful in this role, you need to have the requisite knowledge, skills and abilities:

  • A high school diploma or GED is required; Associates Degree/some college courses preferred
  • At least 3 years demonstrated experience processing Payroll; including various/multiple pay periods – experience with Canadian payroll processing a plus
  • Ability to calculate figures and amounts such as basic math, discounts, percentages and proportions
  • Ability to read and interpret standard financial and business documents
  • Proficient in knowledge of PC; including Microsoft Office, Payroll Software (i.e. Paycor, Paylocity, etc.)
  • Highly organized and detail-oriented professional
  • Strong technical, troubleshooting, and problem solving skills
  • Sincere, positive, and service minded attitude
  • Strong verbal and written communication skills
  • Capable of working independently, as well as within a team environment; ability to be a team player and is passionate about helping everyone on the team to be at their best
  • Respect for confidentiality practices
