JOB SUMMARY

Responsible for serving as the inside portion of the sales team. A Customer Service Representative (CSR) is the main internal contact for all existing clients. CSR’s assist in the development of new accounts and the maintenance of existing accounts. CSRs take care of any/all requests from clients on a daily basis and ensure all jobs are complete, to the customer’s satisfaction (both for timeliness and quality). CSR’s also keep the client up-to-date throughout the job process on costs and schedules and ensure all pricing and job related procedures are handled in the correct manner.

MAJOR AREAS OF ACCOUNTABILITY (should be able to measure)

  • CSR’s interact regularly with customers, Sales Representatives, Estimating, Production, Prepress, Purchasing and Delivery departments as well as with other CSR’s and outside vendors. Lack of attention to schedules and job details can lead to customer dissatisfaction and possible loss of account
  • CSR goals are: to be proactive with existing accounts, capturing all of their printing needs; calling them before they call us; to leave clients with the impression that our company is the best in the business and that they are the only account you handle

DUTIES
& RESPONSIBILITIES

  • Communicates with
    customers: takes specifications for new jobs to be estimates, offering
    alternative options where possible; provides technical support as needed;
    resolves customer questions and problems as they arise and in a timely
    fashion; returns all messages within a reasonable amount of time; provides
    clients written price quotations on every bid and details all requirements
    and components of project; provides clients written updates on all
    additional costs to their jobs; schedules pick-ups of customer materials;
    schedules delivery of customer inventory; uses proper business phone
    etiquette with all clients; schedules and handles customer on-sights
    during regular business hours; sets-up new accounts through the accounting
    department; uses the “ARMS” Program daily; contacts clients when sending
    our proofs and to inform them of
    jobs delivery
  • Responsible for daily
    workflow: reviews daily job report each morning to ensure all jobs are on
    schedule; reviews daily delivery reports and discusses any delivery
    concerns with the appropriate supervisors; reviews and write-up proofs to
    go out to clients throughout the day; turns in proofs to production when
    they return from customers; fills out the proper forms necessary to
    account for changes and additional charges; ensures jobs match the quotes
    before turning them into production; has jobs re-quoted if needed and
    informs customers of price changes in writing; enters jobs into the
    system; writes job number and date on all supplied materials; ensures
    lasers are provided to production on ALL jobs; provides folding dummies on
    book work; prints out Sales Call Log (“ARMS”) and discusses with Sales
    Representative who is to contact which accounts and when
  • Completes related
    tasks: tracks customer inventory
    for customer, keeping them updated on low levels and expired /obsolete
    items; follows-up on old quotes to obtain win/lose information; develops
    an account file containing cut %’s and competition; crosses selling
    accounts and asking what we need to do to get the work; analyzes increases
    or decreases of business within an account and identifies reasons per
    quarter in combination with sales; keeps clients A/R below 60 days and
    identify problems before invoices age past 60 days, in combination with
    Sales Reps.; keeps active jobs off the 77 list (no activity on ANY job
    after 30 days is to be billed); follows-up with clients after the delivery
    of jobs to ensure client satisfaction; changes voicemail messages when
    absent; reviews all in-house work and upcoming jobs with back-up CSR the
    say before any scheduled leave; ensures the receptionist is aware of times
    away from the building

CRITICAL SKILLS & EXPERIENCE

  • High School diploma or
    equivalent
  • Two years of college
    preferred
  • One year of experience
    in the printing of graphics industry
  • One year of experience
    in customer relations
