Responsibilities

  • To be responsible, under the direction of the Director of Operations, for the overallmanagement of site operations and supervision of all staff members at the physical site.
  • Above all else, the spirit of teamwork and cooperation with other team members will not onlyimprove the job you do, but enhance work experience.

Financial

  • Demonstrate ability to understand financial goals, operate assets in owners andinvestors best interests.
  • Maintain accurate records of all project transactions and submit on a timely basismonthly reporting (i.e. rent rolls, delinquency reports, move ins/outs, etc.)
  • Rent-maintain computer records to ensure that all rents and late fees/check chargesare collected, posted, and deposited in a timely manner.
  • Generate necessary legal action, documents, and process in accordance with thestate and company guidelines.
  • Ensure that A/P invoices are submitted to corporate office for payment.

Leasing & Marketing

  • Maintain a professional image and attitude in keeping the objectives of managementand residents’ welfare.
  • Always represent the company in a professional manner.
  • Adhere to the Policy Handbook and Procedures Manual
  • Conduct interviews and complete income verification to ensure eligibility withgovernment program regulations for all move in/out, unit transfers, annualrecertifications, and management compliance.
  • Prepare files for the compliance department for final review and approval.o Ensure the property is rented to its fullest capacity.
  • Be prepared to show vacant units using professional marketing procedureso Maintain tenant files and related documentation regarding continuing eligibility andadjustments. Keep office and files in an “audit ready” manner and successfullycomplete all internal audit evaluations.
  • Maintain records of rental levels of comparable units in surrounding areas
  • Review all advertising, email, website, and marketing for accuracy andappropriateness.
  • Continually monitor and analyze traffic logs, conversion ratios, budget guidelines,renewal information, marketing data, waitlists, etc. to be able to give up-to-date andproper information when requested by others.
  • Assist, when necessary, in special resident and leasing events.

Administrative & Maintenance

  • Train new staff on policies and procedures of the company and specific projects.o Maintain tickler files for day-to-day operations and monthly reporting
  • Confirm all leases, renewals and corresponding paperwork are completed and inputinto software system accurately and on a timely basis.
  • Complete all necessary monthly occupancy reporting and financial reporting inaccordance with the policies and procedures of the state and company.
  • Work with superintendent to respond to maintenance requests in a timely manner.
  • Work with superintendent to ensure the property grounds, both exterior and interiorare clean and free of any safety and hazardous conditions.
  • Work with Superintendent to perform annual unit inspections and ensure process iscompleted as per procedures and policies in place.
  • Work with superintendent to coordinate and schedule vendors accordingly to ensureannual inspections are taken place for building mechanicals.
  • Work with office team to ensure all turn-over repairs, cleanliness and services arecompleted and on schedule in accordance with the unit turn over checklist.
  • Obtain bids for different projects accordingly to ensure best services and practicesare received for the project.
  • Maintain and track inventory and supply purchases.
  • Compose and type correspondence and documents
  • Answer the phone and greet residents and visitors pleasantly and professionally o Work with the team to ensure coverage when needed.

Resident Retention

  • Maintain professional communication with residents, applicants, and representatives. • Address resident concerns in a professional and timely manner.
  • Develop resident retention programs (i.e., resident functions, special promotions,monthly newsletters, etc.) Also use to attract new potential residents.
  • Distribute of all company and or property issued notices (i.e. bad weather, snowremoval, emergency, etc.)
  • Enforce the policies and procedures of the property.
  • Measure tenant satisfaction through periodic surveys and flag recurring problems forattention.

Qualifications for this position

  • Five (5) years of multi-family residential management experience – minimum 3 yearsaffordable housing experience preferably HUD project based section 8
  • Knowledge of Department of Housing and Urban Development ("HUD") rules and regulations
  • Knowledge of laws and standards that apply to property management, such as Fair HousingLaws, Landlord-Tenant Law, OSHA Standards, local and state building codes
  • High school education or equivalent
  • Must have excellent computer skills including Microsoft Office (Word, Excel, Outlook)
  • Ability to work independently, organize tasks, manage time and prioritize projects
  • Must have experience in Section 8 voucher submission, special claims, MORS, REACS and tax credit.
  • Experience with Yardi Voyager or similar property management Software
  • Excellent communication skills; verbal and written
