POSITION SUMMARY

Provide superb customer relations and administrative support that enables assigned departments to achieve their goals to advance of the mission of Marion Technical College (the "College").

ESSENTIAL JOB DUTIES, FUNCTIONS AND RESPONSIBILITIES

  1. Respond to inquiries from students, College employees and customers, while maintaining high standards of confidentiality and privacy, in a timely manner; maintain confidentiality in accordance with the College, FERPA, student records, and any other protected documentation.
  2. Provide administrative support to assigned departments and their programs, adjunct faculty, and students. This includes, but is not limited to, assisting with the scheduling and organizing of advisory committee meetings as well as attending department meetings and taking minutes as needed.
  3. Maintain an organized and professional department reception area. Receive and direct incoming phone calls, greet, and direct visitors and students, and respond to general questions. Maintain appointment schedules.
  4. Respond to faculty, staff, and student inquiries regarding policies, procedures, advising, and student records. Organize communications that aid the department administrators and faculty.
  5. Assist assigned academic departments with initiatives related to academic programming, communication with constituencies, enrollment management, evaluation and assessment of student learning, academic support services, curriculum development and program evaluation, courses and curricula.
  6. Serve as a liaison for the department faculty, students, and other College administrative staff. Handle unanticipated discretionary matters in a judicious and as necessary, confidential, manner in the absence of the Provost. Assist in the development and implementation of policies and procedures in accordance with College policy.
  7. Develop a thorough understanding of the certificate and degree programs and the registration and record-keeping processes and procedures.
  8. Assist in developing the class schedules. Coordinate and accurately document contract information relative to adjunct faculty. Update master syllabi template. Coordinate collection of semester syllabi and faculty door schedules.
  9. Maintain a list of changes from year to year for curriculum changes for assigned academic departments. Coordinate annual updates to the catalog and student handbook.
  10. Coordinate routine and special projects, including electronic communications, meetings, virtual inquiries, and other tasks as assigned by the Provost. Prepare materials and correspondence of routine and confidential natures, as directed by the Provost.
  11. Assist with marketing/promotion of departmental courses, brochures, flyers and special events, and participate in occasional special events, in coordination with the Admissions and Marketing departments.
  12. Assist with completion of purchase requests and order supplies; maintain area copier / printer.
  13. Act as the primary liaison between the College and the bookstore provider, ensuring precise and timely communication. This includes responding to inquiries, resolving issues, and overseeing faculty adoptions. Coordinate faculty textbook orders.
  14. Maintain proficiency for software programs, systems, and databases used by the College.
  15. Provide administrative assistance for assigned college committees.
  16. Establish and maintain an organized, comprehensive record-keeping system to process all assigned departmental reports required for external and internal purposes, including budgets, academic programs, courses, publications, websites, credit-by-exam, accreditors, human resources, etc.
  17. Coordinate departmental and College meetings; transcribe meeting minutes.
  18. Serve as the Records Retention Official for assigned academic departments. Create and maintain an electronic archiving system for records that are to be retained, including developing a scheduling system to properly destroy records, according to the approved College Records Retention schedule.
  19. Develop professional development opportunities within the scope of work responsibilities. Demonstrate self-motivation and be willing to research and continually update knowledge and skills, as well as provide input and accept additional and changing work responsibilities.
  20. Attend on- or off-campus College meetings and serve on internal and external committees, as assigned. Adhere and monitor safety practices, rules, and other regulations within the College, high schools, and other locations.
  21. Work with new full-time and adjunct faculty to complete hiring paperwork and initial onboarding.
  22. Coordinate academic misconduct complaints and documentation for appeals and record keeping.
  23. Other related duties as assigned by the Provost, including direct support of assigned departments.

QUALIFICATIONS

Associate’s degree from a regionally accredited college or university required, bachelor degree preferred. Three to five years of general office and strong customer service experience required. Proficiency in Microsoft® Office programs (Word, Excel, PowerPoint, and Outlook) with excellent computer and related technology skills required. Demonstrate the ability to work independently and complete projects with minimal direction and oversight. Previous experience in higher education highly desired. Willingness to work an irregular schedule as assigned. Ability to successfully pass an FBI/BCI and other background checks, prior to and after employment. Valid driver’s license or dependable transportation required. Smart phone required to allow access to MFA-protected services.

ADA SPECIFICATIONS

This position is classified as Staff and will perform a wide range of professional and administrative support functions for the college, primarily in an office setting. Further information may be obtained from the Office of Human Resources.
