Mission Statement


Founded in 1938, the Boys & Girls Club of Newark (BGCN) is a non-profit organization working with youth to help them achieve academic success, build good character and citizenship, and lead healthy lifestyles.


Position overview and primary functions


Our organization's Site Coordinator / Supervisor plays a vital role in ensuring the successful implementation, coordination, and supervision of all program activities. This individual will be responsible for creating a safe, engaging, and enriching environment for members during after-school hours and throughout the summer break. This includes upholding our Trauma - Informed practices, policies, and procedures.


The Site Coordinator / Supervisor will lead a team of program staff, manage daily operations, collaborate with community partners, and uphold the mission and values of our organization, including the daily management and tracking of third-party, parent out-of-pocket payments and Programs for Parents.

Duties and Responsibilities:

The duties listed below are the primary duties of this position but are not all the required duties. The Boys & Girls Club of Newark reserves the right to change, reduce or expand the duties of this position at any time.


Specifically, the primary duties are:


Program Leadership and Management:


  • Work in collaboration with the Chief Operating Officer to maintain and revise, when needed, streamlined programmatic processes.
  • Work in collaboration across departments and department leads.
  • Create a programmatic environment that facilitates the five key elements for youth development -- A safe; positive environment, Fun; Supportive relationships; Opportunities and expectations; Recognition.
  • Oversee the day-to-day operations of the after-school program and summer program, ensuring a high level of program quality and member engagement.
  • Develop and implement well-rounded programs that align with educational / program standards and support members' academic, social, and emotional growth.
  • Coordinate program logistics, including scheduling, transportation, snacks/meals, and supplies procurement.
  • Monitor program activities to ensure they are safe, effective, and in line with the organization's goals.
  • Monthly reports must reflect all activities, attendance, and participation, to be included in the weekly report to the supervisor.
  • Communicate any potential issue or concern daily with the supervisor or administrative staff regarding personnel, parent, peer, partners, or members.
  • Must be able to commit to weekly BGCN / KIPP/Partnership meetings.
  • Adhere to all New Jersey Child Care Licensing requirements and policies/procedures as outlined in the Employee Handbook and elsewhere.
  • Report and document all incidents, staffing issues, and member's issues to the external site DSO / Principle / KIPP Liaison & BGCN supervisor.
  • Review and respond to emails, voicemail, and other forms of communication within twenty-four (24) business hours.
  • Responsible for the external site remaining clean, neat, organized, and in good repair.
  • Follow all organizational policies and implement it daily to ensure programs are successful.
  • Serve as an Ambassador for the Boys & Girls Club Movement
  • Maintain accurate records of staff payroll timesheets. Ensuring all documents are signed and accurate.
  • Other duties as assigned.

Trauma-Informed Practices Integration


  • Infuse trauma-informed principles into all program components, interactions, and activities, ensuring that youth participants' physical, emotional, and psychological safety remains a top priority.
  • Implement strategies and re-inforce policies and procedures to staff, parents and members to avoid traumatization, such as offering choices, respecting personal and professional boundaries, and promoting a sense of agency.
  • Through trauma-informed training, develop the ability to recognize signs of distress and crisis in youth participants and provide immediate trauma-informed interventions using de-escalation techniques and crisis management protocols.
  • Offer emotional support and guidance during challenging moments, helping youth develop healthy coping mechanisms and resilience.
  • Recognize and respond quickly to unacceptable behavior - arguing, fighting, etc. - using positive discipline and trauma-informed practices outlined in training.


Staff Supervision and Development:


  • Recruit, hire, train, and supervise a team of program staff, including instructors, counselors, and volunteers.
  • Provide ongoing guidance, support, and professional development opportunities for program staff to enhance their skills and effectiveness.
  • Conduct regular performance evaluations and implement improvement plans as needed.
  • Foster a positive and inclusive atmosphere where members feel valued, respected, and motivated to learn.
  • Develop and implement strategies to address members' diverse needs and interests, including those with special requirements.
  • Collaborate with teachers, parents, and guardians to create personalized learning plans for members as necessary.
  • Ensure all membership staff are fulfilling duties as described in the Membership Job Description

Community Partnerships and Outreach:


  • Establish and maintain positive relationships with schools, community organizations, and local stakeholders to enhance program effectiveness and community engagement.
  • Act as a liaison between the organization and external partners, advocating for the program's impact and building strong partnerships.
  • Attend community and school events to promote our programs throughout the year.

Data Collection and Reporting:


  • Collect and maintain accurate records of program attendance, student progress, and outcomes.
  • Prepare regular reports on program activities, achievements, and challenges for organizational leadership, funders, and stakeholders.

Budget Management:


  • Assist in developing and managing program budgets, ensuring financial resources are allocated effectively to support program goals and activities.
  • Control expenditures against budget

Qualifications:


  • Bachelor's degree in education, social work, youth development, or related field (Master's preferred).
  • Minimum of 4 years of experience in program management, youth development, or education.
  • Strong leadership and interpersonal skills, with the ability to motivate and manage a diverse team.
  • Excellent communication and collaboration abilities, including the capacity to work with members, parents, staff, and external partners.
  • Knowledge of best practices for curriculum development, student engagement strategies, and youth development.
  • Experience working with diverse communities and understanding of cultural sensitivity.
  • Proficiency in Microsoft Office Suite and data management software.
  • Ability to pass background checks and meet other regulatory requirements as necessary.
  • Maturity and patience when working with children.
  • Proven track record of over 4 years to directly lead a team successfully.
  • Proficient in database management & Microsoft Suites.
  • CPR Certified/First Aid - preferred
  • Covid vaccination required.
  • Must be able to commit to local travel/ and some long-distance travel and driver's license required.
