Executive Support
  • Provide calendar management for CEO/Executive Director. Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.
  • Complete a broad variety of administrative tasks that facilitate the CEO’s ability to effectively lead the organization including assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense and mileage reports. 
  • Work closely with the CEO/COO/CFO/HR Director to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
  • Attend meetings with CEO, PACS Board and staff where necessary including taking minutes

Board Support
  • Act as a liaison and provide support to the Board of Directors. Arrange and handle all logistics for Board meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes on behalf of Board Secretary. Adhere to compliance with applicable rules and regulations set in bylaws regarding Board matters
  • Coordinate and provide oversight for ordering and purchasing meals and refreshments for Board meetings and other staff meetings as warranted
  • Handle complex and confidential information between the CEO/Executive Director and board members.
Administrative/Office Support
  • Provide oversight for event planning including scheduling meetings, sending emails, ordering/maintaining supply inventory, mail distribution
  • Ensure the office website and social media platforms are maintained and up to date.
  • Help organize and assist in fundraising activities as and when required
  • Provide leadership and oversight for the Excellence Committee including planning, budgeting, documenting client success stories and employee appreciation efforts. 
  • Assist staff with service user feedback surveys
  • Provide back-up support for the Human Resources Director as necessary which may include recruitment, New Employee Training, EEO Policy Co-Manager, and other tasks as needed, and the Agency drug policies.
  • Provide programs compliance with periodic auditing as directed by the CEO. 
  • To carry out such other reasonable duties as may be required

Skills and Qualifications
  • Executive support experience, including supporting C-level executives and Nonprofit board experience is highly preferred
    • Proficiency with Microsoft Office suite of products
    • Exceptional organizational skills and impeccable attention to detail
    • High degree of professionalism in dealing with diverse groups of people, including Board members, senior executives, staff, community leaders, donors, and funded partners
    • Ability to complete a high volume of tasks and projects with little or no guidance
    • Able to maintain a high level of integrity and discretion in handling confidential information
    • Excellent judgment is essential 
  • Strong communication skills both verbal and written
  • Ability to multi-task and be flexible

Requirements
  • High School Diploma Required with associate’s degree preferred
  • Experience in an administrative support role 
  • Must have a satisfactory background check and pre-employment drug-screen
