The Human Resources Coordinator plays a pivotal role in the organization as a member of the HR Team to administratively support the HR department in multiple functional areas of HR including, recruiting, onboarding, HRIS entry, and volunteer coordination.

Human Resources Management

  • Maintains online job posting and applicant tracking processes, including posting positions, reviewing resumes; and sending correspondence to candidates.
  • Works collaboratively with hiring managers to identify staffing needs, recommend sourcing strategies, and manage the applicant process.
  • Manages new employee onboarding process to include, sourcing, pre- employment screenings, reference checks and orientation/online training coordination.
  • Provides information to applicants regarding application/onboarding process, employment policies, organization, and open positions.
  • Manages the Department of Children and Families Clearinghouse system, including managing the roster for licensed programs, out of state background checks when needed, initiates all 5 year rescreens for staff in licensed programs, and correspondence with DCF on eligibility status.
  • Creates all Pinellas County License Board program staff files, distributes to appropriate managers upon new hire start date, and sends to PCLB upon request.
  • Ensures that all background checks, drug testing and online trainings are completed within required timeframes and that employee is eligible for hire based on requirements.
  • Develops and maintains relationship with employment agencies, universities, and other recruitment sources.
  • Maintains personnel and site files in accordance with state laws and agency compliance.
  • Responsible for accurate and timely data entry into HRIS, including entering new hires, job codes and pay rate changes and well as user set up and maintaining online document tasks.
  • Responds to inquiries regarding policies, procedures, and programs
  • Prepares and maintains employee hardcopy and electronic files; I-9's. Complies with E-verify process and submits all cases within required timeframes.

Volunteer Management

  • Manages volunteer onboarding to include screening, reviewing applications and correspondence with appropriate supervisors on status.
  • Works with supervisors to determine need for volunteers and strategies for volunteer recruiting and placement.
  • May correspond with volunteer applicants to assess areas of interest and determine possible placement of applicants.
  • Develops and maintains relationships with community recruiting sources for the purposes of employee and volunteer recruitment.
  • Ensures tracking and reporting of volunteer hours. Generates volunteer reports on a monthly basis.

Requirements

  • High School degree or equivalent required, college experience preferred.
  • Minimum 2 years of related Human Resources experience with a heavy focus in recruiting and onboarding.
  • Requires strong knowledge of computer software programs: Microsoft Office and HR information systems (preferably Paycom). Strong reporting capability.
  • Must be able to communicate in a courteous and professional manner via email, phone or in person and ability to work with all levels of employees from hourly to top management.
  • Knowledgeable about Human Resources laws, processes, and procedures.
  • Detailed data entry skills and ability to learn quickly.
  • Able to work with minimal direct supervision and exercise initiative.
  • Ability to work with integrity, discretion and a professional approach.
  • Highly organized, detail-oriented, with excellent written & verbal communication skills

$20-$22/hr.
