We are seeking an individual who is dependable with excellent organizational, communication and Microsoft Office skills. This is a full-time, hourly position that will work M-F during normal business hours with the Facilities and Administration (Mailroom & Receptionist) Department, in our Client’s Easton, MD headquarters. Essential Duties and Responsibilities:
  • Prepares and/or process folders, files, and maintains medical records.
  • Processes and handles distribution of incoming/outgoing mail across corporate staff.
  • Coordination of packaging, shipments, labeling, etc. and delivery to mail servicing centers.
  • Locates, signs out, and delivers medical records requested.
  • Operate computer to enter and retrieve data and type correspondence and reports.
  • Operates office and large scale copy equipment.
  • Maintains database files.
  • Creates ID badges, credentials and name tags for staff.
  • Packages and sends various types of documentation including personal health information and computer equipment by following specific protocol.
  • Provides reception services by greeting guests via phone and registering guests in-person.
  • Interact with customers on-site and by phone and identify issues that should be referred for
  • Enters data into various databases.
  • Cross-trains to provide coverage in all unit functions.
  • Seeks assistance as needed.

Education and/or Experience Required:
  • High school diploma or general education degree (GED)
  • At least 2 years related experience; or equivalent combination of education and experience.
  • Computer proficiency skills to navigate data entry into systems.
  • Reliable and able to follow structured processes, workflows and schedules to deliver mail/copy projects on time.
  • Solid communication skills (verbal & written) to communicate by phone and email with internal employees, as well as greet guests and answer phones when covering for the receptionist.
  • Working knowledge of Microsoft Office to include Excel, Outlook and Word.

Other Skills and Abilities Needed to be Successful in Role:
  • To perform this job successfully, an individual should have knowledge and experience with MS Word, Excel and word processing software and the ability to learn department specific software such as Photo Shop, Illustrator and InDesign.
  • Knowledge of mail, copy, and various office equipment. Multi-line switchboard experience. Must have excellent customer service, time management and problem-solving skills.
  • Must be a self-starter, flexible, detail-oriented, team player, quality conscious, dependable and reacts well under pressure.
  • This position requires heavy lifting and standing on your feel for long periods of time.
  • Use of personal vehicle for daily travel to and from the post office, mail center and/or federal express drop box is required.
