Job DescriptionJob Description

In this role you will develop and maintain staff nursing and physician call schedules; provide administrative support to nurse managers and nursing administration; and process nursing payroll, maintain call schedules, and assist in policy management.

Typical Schedule

Monday thru Friday, daytime hours

Qualifications

  • High school diploma or equivalent, required.
  • Administrative/Clerical Assistant Degree, preferred.
  • Previous Clerical work in Healthcare or related field, preferred.

Responsibilities Include:

  • Completes the staff schedules for nursing staff.
  • Submits schedule to nurse leaders for review prior to posting for staff.
  • Posts the schedule in each department and distributes call schedules to appropriate departments.
  • Calls to fill openings in schedule and adjusts staffing as needed or requested by charge nurse.
  • Reviews and approves vacation/PTO requests based upon OMC policy. Gives approved time off request back to employee within a timely fashion.
  • Communicates regularly with the charge nurse and clinic manager about staffing changes or upcoming needs.
  • Reviews timesheets and makes manual adjustments.
  • Reviews and collaborates with dept. nursing manager to approve PTO/vacations.
  • Answers incoming telephone calls and handles in an appropriate manner.
  • Screens incoming telephone calls and identifies the purpose so the caller can be routed efficiently to the appropriate nurse manager.
  • Takes accurate messages and assures it is received by the appropriate person in a timely manner.
  • Schedules meetings, arranges location, posts meeting announcements and records minutes of nursing/clinic staff meetings.
  • Provides administrative support for various programs.
  • Assists with chart review as requested and data collection/entry.
  • Types and posts memos, announcements and related communications.

  • Skilled at Microsoft Office applications.
  • Excellent customer and communication skills.
