Job Summary:

We are seeking an energetic, smart, technologically adept, positive, solutions-oriented Workplace Services & Supply Chain Manager. Each day offers opportunities to make a positive impact on our business and this role is the perfect place to contribute to productive improvements. The Workplace Services Manager role will need to adapt best work practices, incorporating highly productive office services management and safe working conditions to a growing business. This role reports to the Executive Director of Business Operations.

Requirements:

Essential Functions:

Workplace Services

  • Maintain office procedures and workflow to support daily business operations. Logistics and sign-in procedures.
  • Manage the workplace operations platform envoy - visitor management.
  • Ensure all labs, manufacturing and common areas are maintained and cleaned. Coordinate with janitorial provider as needed.
  • Perform site walks and submit work order tickets, as necessary. Follow up with maintenance staff to ensure quality and timely completion.
  • Oversee site security of the campus, access management and video surveillance.
  • Coordinate key access when needed, assigning keys to new employees.
  • Maintain conference room productivity, coordinate with IT to ensure functioning office systems to support meeting productivity.
  • Support facility project management of current buildouts, modifications, and space expansions.
  • Oversee projects that may occur late night, early morning, or weekends, as necessary.

Supply Chain

  • Establishes and maintains communications to satisfy the needs of manufacturing operations while facilitating a consistent and coordinated interface with suppliers on quality, delivery, and other performance objectives.
  • Analyzes inventory levels and accuracy and assists in resolving inventory discrepancies.
  • Oversees and monitors supplier shipment plans to ensure sufficient product inventory to satisfy customer requirements.
  • Develop safety stock, minimum order quantities, and optimal production quantities for raw materials, intermediates, and finished products.
  • Monitors slow-moving and obsolete inventory and plans to deal with it accordingly.
  • Drives best practices for material inventory management and reporting and is responsible for ensuring appropriate control mechanisms are in place to achieve exceptional levels of inventory accuracy, material availability, and service goals.
  • Works closely with other departments to gather data for analysis of usage, quality, price, and manufacturing capabilities.
  • Participates in inter-departmental teams working towards continuous process improvement and waste elimination.

Education, Experience and Skills Required:

  • Bachelor’s degree with relevant professional experience.
  • Excellent organizational skills, attention to detail, problem solving, initiative and follow through.
  • Experience responsibly handling confidential and sensitive documents, communication, and meetings with attention to maintaining secure files.
  • Proficiency in the following is desirable: envoy, word, excel, outlook, teams, S2, SAP. Ability to learn and apply new applications with ease.
  • Excellent written and verbal communication skills with ability to convey ideas and data in presentations.
  • Excellent interpersonal skills, adept at building cross strong functional relationships with internal teams and external partners.
  • Excellent work references from previous employer(s).
  • Exposure to and appreciation for well managed high tech, biotech, laboratory, and office space work environments is an advantage.
