Job Summary: Patient Advocate for Radiology Services

The Patient Advocate for Radiology Services provides patient and administrative support in the Radiology, Functional Kinesiology, and Nutrition departments of the University Clinic System to assure a smooth, efficient flow of patients, student interns, and clinicians. This position provides patient services including check-in, check-out, and collecting payment; in addition, this position coordinates purchases and inventory of therapy and nutritional supplies and equipment, follows up with referring providers and ensures the area is supplied, clean, and in good order. In this capacity, the Patient Advocate is familiar with and supports the mission of the University, College of Chiropractic, and Clinic System.

Responsibilities

  • Assures appropriate patient flow and adapts when necessary.
  • Greets patients and visitors and ensures a successful and high-quality visit occurs.
  • Collects outstanding balances, deductibles, and copays due at the time of check out.
  • Maintains inventory management tasks.
  • Schedules appointments and follow-ups with patients in person and/or over the phone.
  • Maintains knowledge of all patient forms and prepares patient files and forms; enters patient data into computer system.
  • Ensures all demographic information is correct in the electronic health record and updates as necessary.
  • Maintains the accuracy, quality and correct location of sign-in sheets, patient files in the EHR, and any other applicable patient visit records.
  • Coordinates patient records with other departments of the clinic system ensuring compliance with HIPPA regulations and confidentiality.
  • Provides accurate and helpful information regarding the clinics for all inquiries, in person or over the phone.
  • Maintains knowledge about and able to discuss with patients and potential patients’ information relating to chiropractic care, Life Chiropractic Centers, and the University.
  • Interacts pleasantly and professionally with student interns, faculty, and patients.
  • Maintains the accuracy, quality and correct location of patient files, patient visit forms and any other applicable patient visit records.
  • Coordinates patient records with other departments of the clinic system ensuring compliance with HIPPA regulations and confidentiality.
  • Assists with the preparation of clinic reports as requested.
  • Maintains the office areas in a neat, clean and orderly manner.
  • Promptly reports any equipment that is not in working order.
  • All other duties as assigned by Senior Clinic Office Manager or Assistant Office Manager.

Requirements

  • Associate’s degree, or combination of High School/Equivalency and seven years’ previous experience.
  • Three years’ demonstrated experience in clinical chiropractic setting or other clinical environment.
  • Two years’ demonstrated computer skills, including experience with Microsoft Office Suites.
  • Two years’ experience with electronic health records software and procedures.
  • Demonstrated ability to maintain focus, exhibit good judgement, take initiative, and work autonomously.
  • Able to perform duties independently with supervision generally available at all times.
  • Able to perform basic math skills (addition, subtraction, multiplication and division).
  • Patience and compassion towards patients and other stakeholders with a pleasant personality.
  • Ability to operate standard office equipment and follow office procedures.
  • Ability to deal with difficult situations involving sensitive and confidential issues.
  • Must be able to perform assigned duties with frequent interruptions and time pressures.
  • Ability to communicate with all levels with confidence and knowledge.
  • Ability to work effectively with a broad range of constituents in a diverse community.
  • Effective oral and written communication skills.
  • Able to organize work, engage in a variety of tasks simultaneously and consistently meet deadlines.
  • Strong attention to detail.
  • Computer skills; word processing and spreadsheet software capabilities.
  • Maintains neat, clean, professional appearance as directed by University policy.
  • Be knowledgeable about and know the location of information resources: Intern Handbooks, Clinic SOP Manual, Clinic Staff SOP Manual, Clinic Department handbooks.
