Job Summary:
As an Accounts Payable Specialist at our company, you will play a crucial role in ensuring the accuracy and efficiency of our accounting transactions. This position demands a keen eye for detail, excellent problem-solving skills, and the ability to adapt to new policies and procedures to drive improvements in departmental and organizational efficiency.
Essential Functions
Vendor and Supplier Management: Assist with setting up new suppliers and maintaining the Supplier Master File.
Transaction Processing: Perform day-to-day financial transactions, including verifying, classifying, and recording accounts payable data.
Account and Expense Management: Understand expense accounts and cost centers; resolve purchase order, invoice, and payment discrepancies.
Reconciliation and Compliance: Verify and investigate discrepancies by reconciling vendor accounts and statements. Assist with the preparation of company 1099s and conduct periodic reconciliations of the Received Not Invoiced report.
Month End and Reporting: Assist with month-end closing procedures and maintain confidential information.
Payment Processing: Ensure the timely and accurate processing of payment transactions and maintain a three-way match process for all inventory purchases.
Communication: Correspond with suppliers professionally and timely and serve as a backup for other office functions as required.
General Position Requirements
- Education: Minimum High School diploma; a related college degree is preferred.
- Experience: 3-5 years as an Accounts Payable Specialist or in a similar role, preferably with a manufacturer or distributor.
- Knowledge of accounts payable, general accounting procedures, and relevant accounting standards.
- Effective communication skills, both verbal and written. Ability to follow written work instructions.
- Proficiency in accounting software and MS Office, especially Excel.
- Ability to work effectively both individually and as part of a team.
