About the Position:

The purpose of the Technical Operations Coordinator plays a pivotal role ensuring the smooth functioning of technical projects and operations within the IT organization. This role involves managing licensing renewals for software, coordinating hardware replacement for outdated equipment on a rolling schedule, and assisting with deliverables for projects sponsored by IT and Business, where IT has deliverables. The position serves as a bridge between technical teams, vendors, and internal stakeholders to ensure efficient project execution and operational continuity.

This role offers opportunities for career progression to positions such as Project Manager or Technical Specialist as the individual gains experience, demonstrates leadership capabilities, and expands their technical expertise.

Task and Duties:

  • Technical Project Support:
    • Assist in the coordination and execution of technical projects, including licensing renewals, hardware replacements, and IT-sponsored initiatives.
    • Collaborate with cross-functional teams to ensure timely completion of project deliverables and adherence to project timelines.
  • Software/Hardware Lifecycle Coordination:
    • Coordinate licensing renewals for software products, ensuring compliance with vendor agreements and optimizing license usage.
    • Coordinate hardware replacement for outdated equipment on a rolling schedule, working closely with procurement and technical teams to ensure seamless transitions.
  • Help Desk Support and Issue Resolution:
    • Participate in resolving technical issues reported via support tickets received from employees through the internal help desk system.
    • Troubleshoot basic software, hardware, and network connectivity issues, escalating complex issues as necessary.
  • Vendor and Stakeholder Management:
    • Maintain relationships with vendors and third-party service providers, ensuring effective communication and collaboration to meet project requirements.
    • Serve as a liaison between technical teams, business stakeholders, and external vendors to facilitate project delivery and resolve issues promptly.
  • Documentation and Reporting:
    • Maintain accurate documentation of technical processes, project plans, and licensing agreements.
    • Generate reports on project status, licensing usage, and hardware inventory to support decision-making and strategic planning.
    • Document procedures related to support, software, and hardware used throughout the organization.
  • Special projects as assigned
  • Back up other members of department as needed

Education and Experience:

  • Bachelor's degree in Business Administration, Information Technology, or related field, or qualified work experience.
  • 5-7 years' experience in technical operations, project coordination, data analysis, and support for a medium-sized or larger organization.
  • Recent work experience performing analysis and coordination of license renewals and hardware replacement projects.
  • Strong communication and interpersonal skills, with the ability to collaborate effectively with cross-functional teams, external vendors and suppliers, and internal external stakeholders.
  • Proficiency in project management tools, Microsoft Office applications, and technical troubleshooting.
  • Proactive mindset with strong problem-solving skills and attention to detail.
  • Ability to work independently and prioritize tasks in a dynamic environment.
  • Experience using one or more of the following services is a plus: Zendesk, Asset Panada, Microsoft 365, and GoToResolve.
