POSITION SUMMARY:

The Human Resources Assistant will be responsible for personnel records, assisting employees with questions related to HR matters, and assist the HR Team with projects.


Primary Responsibilities:

Recruiting/Onboarding

  • Assist in the recruitment process. May attend job fairs.
  • Conduct initial phone screening of applicants and perform follow-up phone calls
  • Coordinate subsequent interviews with appropriate hiring managers
  • Assist with new hire data entry related to recruitment and onboarding tracking

Employee Relations

  • Assist with employee events (i.e., recruitment, recognition, benefits open enrollment, etc.)
  • Member of the Culture Committee

Administrative

  • Complete Verification of Employment requests.
  • Track and collect current required employee licenses, certifications, or other mandatory documents.
  • Provide manager with a monthly report on expired documents.
  • Schedule and coordinate CPR training sessions.
  • Process updates in the HRIS as needed.
  • Maintain employee files (both physical and digital).
  • Consolidate exited employee's files and move to the appropriate location.
  • Format Department Manual Procedures and Processes.
  • Be backup for front desk and phone coverage as needed.
  • Provide a weekly update of HR related info to be included in the What's Hot This Week email.
  • Maintain Navian Office PowerPoint to include new hires, recognition, and office updates
  • Assist with mailing projects (403b rollovers, correction of address inquiries, etc.)
  • Perform a variety of administrative support tasks such as composing confidential correspondence and resolutions, preparation of spreadsheets, and data entry
  • Explains company policies, and state and federal laws and regulations
  • Works harmoniously with a broad range of staff, volunteers, and the community as a representative of Navian Hawaii
  • Performs all other duties as assigned.

  • Excellent communication and interpersonal skills
  • Expertise in written and oral communication.
  • Demonstrates good judgment in seeking and accepting guidance, facilitates clear and honest communication with other team members.
  • Exhibit a high level of confidentiality in all areas of the role.
  • Consistently demonstrates ethical conduct and judgment that is in harmony with the mission and values of Navian Hawaii

Experience and Educational Requirements:

  • High School equivalent required. Associate degree in Human Resources or Accounting preferred.
  • Demonstrated regulatory knowledge in EEO areas.
  • Two (2) years' experience in payroll administration preferred.
  • Knowledge of state and federal laws to include but not limited to FMLA, HFLL, ADA, EEOC, OSHA.
  • Intermediate computer skills, efficient with Microsoft Office applications. (Word, Excel, PowerPoint).
  • Must have knowledge and ability to create, navigate, and update spreadsheets.
  • Aptitude in problem-solving and critical thinking.
  • Work as a team with a result driven approach.
  • Ability to provide a high level of customer service to internal and external customers.
