Job DescriptionJob Description


The Document Control Specialist will be responsible for managing the creation, organization, and distribution of documents and records. You will work closely with various departments to ensure that documents are accurate, up-to-date, and readily accessible, while adhering to quality standards and compliance requirements.

A successful candidate must be able to:

  • Manage, administer, and control documentation workflows and design configuration to ensure timely and accurate submission of documentation to internal teams, vendors, or any external entities requiring specifications.

  • Maintains document and change control tracking/submittal/approval process.

  • Facilitate the storage, archiving, and retrieval of documents.

  • Act as the point of contact for all controlled document requests as well as support during internal/external audits.

  • Participate in the implementation of a new document management system as it relates to document storage, retention, and issuance.

  • Ensure that company quality system documentation (e.g. policies, procedures, engineer specs, forms, records, contracts, etc.) are adequately approved, controlled, and maintained.

  • All other duties and projects as assigned.

  • Excellent time and task management skills.

  • Ability to efficiently make updates, corrections, and additions to documentation based upon requests from colleagues (or teams).

  • Proficiency with scanning and administrative technology.

  • Leverage anticipatory reports for review and accuracy of procedural documents based on the predetermined review date and obtain timely executive approval.

Qualifications:

  • Degree in communications, engineering, or equivalent experience.

  • Background in technological systems specification sheets and manual production.

  • Be versatile in various software applications such as Word, Excel, PowerPoint, Visio, and document control software.
