Job Purpose:
As an ambassador of Jesus Christ, the Receptionist ensures the smooth intake of patients into clinic care. The Receptionist serves as the first point of contact for patients both over the phone and in person, welcoming them with warmth and compassion. This role is responsible for creating a positive and organized clinic environment, ensuring that patients feel comfortable and supported throughout their visit. The Receptionist plays a key role in overseeing patient flow, managing appointments, and supporting the clinic’s day-to-day operations.
Key Responsibilities:
Patient Intake & Scheduling
- Greet patients warmly upon arrival, verify appointments, and facilitate the intake process, including copying photo ID and assisting with mobile intake forms.
- Manage appointment scheduling, including answering phone calls, chats, and texts, and completing scheduling intake forms for new appointments.
- Keep the clinic's Daily Schedule up to date, and schedule preview appointments for Aspire Resource Center.
Front Desk Management
- Maintain a clean and orderly lobby and guest seating areas throughout the shift.
- Ensure patients are verified upon arrival before allowing entrance, using the appropriate script for guest verification.
- Notify Medical Services staff when patients are ready for appointments.
Patient Support
- Provide compassionate crisis intervention and accurate information regarding abortion, parenting, and adoption.
- Offer material resources and referrals as appropriate to each patient's situation.
- Follow clinic policies and procedures regarding patient intake and appointment follow-up.
Administrative Duties
- Track, order, and maintain clinic supplies, ensuring the clinic is well-stocked.
- Resupply the lobby and clinic areas at the end of each shift.
- Assist with general office tasks during downtime and participate in cross-training as needed.
- Attend departmental and volunteer meetings and assist with fundraising events when necessary.
Qualifications:
- A committed Christian with a personal relationship with Jesus Christ.
- Strong dedication to the pro-life position and alignment with the ministry’s Statement of Faith and Principles.
- High emotional intelligence, with the ability to stay calm and collected in stressful situations.
- Excellent organizational skills, with the ability to work independently and as part of a team.
- Maintain patient confidentiality and adhere to all clinic policies.
- Strong bilingual communication skills (English and Spanish).
- Proficiency with computers and patient management systems.
Additional Requirements:
- Must demonstrate characteristics of self-control, humility, respectfulness, and responsibility.
- Ability to support the clinic’s mission and work in a team-oriented environment.
- Must be flexible, coachable, and committed to personal and professional growth.
