The following are the duties of this position at the full working level. If this vacancy includes more than one grade and you are selected at a lower grade level, you will have the opportunity to learn to perform these duties and receive training to help you grow in this position.



  • Receives, screens, and answers routine telephone calls and provides receptionist services to visitors.

  • Establishes, organizes, and maintains files of correspondence, manuals, and other related information, in accordance with IRS regulatory policies and guidance. Compiles records of organizational and workflow charts, staffing levels, mission and function statements.

  • Reviews all incoming mail and correspondence to determine proper action; and, as appropriate, prepares written responses. Determines deadlines for correspondence needing suspense dates; logs, and maintains correspondence and action item suspense data. Follows-up on suspense dates to ensure timely reply to suspense items, as well as matters resulting from meetings and conferences.

  • Uses a variety of computer software programs involving the application of word processing, spreadsheet, slide-presentation, and statistical database programs to input, update, retrieve, gather, and generate data or reports.

  • Coordinates a variety of general support service functions essential to the orderly and efficient accomplishment of work of the office. Performs administrative tasks in one or more of the offices program areas with regard to auditing accounts or tax examining.

  • Analyzes current and proposed office procedures and directives for conformance to IRS policies and procedures to avoid duplication or conflicts with other issuances, and, recommends appropriate corrective actions.

  • Coordinates the formal and internal procedures for the Territory Office's subordinate levels and posts-of-duty offices through immediate supervisors and line supervisors who manage the respective organizations.

  • Must be a U.S. Citizen or National and provide proof of U.S. Citizenship. (Birth certificate showing birth in the U.S; Unexpired U.S. Passport; Certificate of Citizenship or Naturalization; or Report of Birth Abroad of a U.S. Citizen (Form FS-240))

  • Undergo an income tax verification and review of prior performance/conduct.

  • Must successfully complete a background investigation, including a FBI criminal history record check (fingerprint check).



Qualifications


Federal experience is not required. The experience may have been gained in the public sector, private sector or One year of experience refers to full-time work; part-timework is considered on a prorated basis. You must meet the following requirements by the closing date of this announcement:




Specialized Experience/Education GS-05: To qualify for this position at this grade level, you must have at least one year (12 months) of specialized experience equivalent to the GS-4 level in the Federal Service. Specialized experience for this position includes: Providing office administrative and technical support doing office functions such as assisting with preparation of correspondence, reports, and various forms and documents using a variety of computer software programs and applications and office equipment; receive and manage customer calls addressing customer inquiries; input and retrieves data to monitor status; managing a calendar and coordinating services between customers and providers for support services; effectively completing daily or recurring assignments.


You may substitute education for specialized experience as follows:




A Bachelor's degree or four (4) years of education above high school in any field of study from an accredited college or university.




Or




Equivalent combinations of successfully completed post-high school education and experience may be used to meet total experience requirements.




Specialized Experience GS 06: To qualify for this position at this grade level, you must have at least one year (12 months) of specialized experience equivalent to the GS-5 level in the Federal Service. Specialized experience for this position includes: Providing office administrative and technical support doing office functions such as preparing correspondence, reports, and various forms and documents using a variety of computer software programs and applications and office equipment; receive and manage customer calls addressing customer inquiries; input and retrieves data to monitor status; with assistance research records, databases and other sources to resolve issues/problems and able to consult with subject matter experts; managing a calendar and coordinating services between customers and providers for support services; effectively completing daily or recurring assignments.




Specialized Experience GS 07: To qualify for this position at this grade level, you must have at least one year (12 months) of specialized experience equivalent to the GS-6 level in the Federal Service. Specialized experience for this position includes: Providing office administrative and technical support and serves as a resource person doing office functions such as preparing correspondence, reports, and various forms and documents using a variety of computer software programs and applications and office equipment; receive and manage customer calls addressing customer inquiries; input and retrieves data to monitor status; independently assembles data/information and prepares, reviews or reconciles reports and charts; research records, databases and other sources to resolve issues/problems and able to consult with subject matter experts; assists the manager and team lead with creating PowerPoint documents; managing a calendar and coordinating services between customers and providers for support services; effectively completing daily or recurring assignments and special projects.

  • Tour of Duty: Monday - Sunday 24/7

  • Day Shift - Start and stop times between 6am-6pm

  • Mid Shift - Start and stop times between 10am-8:30pm

  • Night Shift - Start and stop times between 6pm-6am

  • Weekends - Could include Sat &/or Sun in conjunction with one the above shifts



  • Position is 24/7 days a year, including weekends and

  • holidays with various days off. Shifts are assigned upon hiring,

  • differential and Sunday premium included. Position is mission

  • critical, therefore staff will be required to report to Post of Duty


Available shifts and compensation: We have available shifts all days of the week. Compensation depends on your experience.
