  1. Process and screen all internal reservation requests to determine type, size and scope of the event
  2. Communicate and collaborate with clients to process and manage changes and cancellations for reservations without the assignment of an Event Coordinator
  3. Communicate and collaborate with clients to negotiate and disseminate space availability and allocation
  4. Manage reservation small-scale “Tier 3” requests with both internal and external clients that do not require Event Coordinator assignment depending on size, scope and nature of the event
  5. Assist with event scheduling system and software transition
  6. Data collection and audit of current spaces, equipment, pricing, nots and discount structures
  7. Assist with creating and implementing training materials and process maps of new procedures for utilizing
  8. Ensure client needs are met through routine check-ins regarding reservations without assignment of an Event Coordinator through detail confirmation approximately 2-weeks prior to reservation start date
  9. Apply emergent event protocol to requests that may not meet the SUES policy deadlines (ex: memorials, last minute requests, etc.)
  10. Preform complex level problem solving in regard to space availability, providing alternatives and communicating policies and procedures with clients and assisting with quality assurance (ex: mitigating booking conflicts, etc.)
  11. Effectively produce and utilize timely, client-oriented customer service skills and techniques through written and verbal communication
  12. Collaborate and maintain a working relationship with campus partners such as Student Recreation and Wellness Center, Office of Student Diversity Programs and Office of Registrar to schedule event holds and reservations within shared managed spaces
  13. Provide support through communicating resources and alternatives across campus for reservations and events that SUES is not able to accommodate/manage due to availability
  14. Audit and organize current Reservation team’s shared drive and documents
  15. Prepare process map documents for policies and procedures
  16. Provide back up for processing reservation requests and respond to client communications
  17. Assist with front desk coverage as needed pending student scheduling availability
  18. Other duties as assigned
Required Knowledge, Skills, Abilities
  1. HS Diploma or Equivalent
  2. Bachelors Degree Preferred (Business/Administrative)
  3. 2+ years Working knowledge of standard office machines and computer software including, but not limited to, Microsoft Word, Excel, Google applications, and Kinetic software [or scheduling software].
  4. Possess strong administrative and organizational skills.
  5. Demonstrate success following through on commitments while incorporating courage, objectivity, trustworthiness, honesty, respect and fairness in daily actions.
  6. Demonstrate ability to communicate effectively one-to-one, in small groups and in public speaking contexts.
  7. Ability to establish and maintain professional relationships with student and professional staff, Division colleagues, and the University community.
  8. Ability to write precise, well-organized emails, letters and proposals while using appropriate vocabulary and grammar
  9. Ability to work autonomously and manage multiple tasks simultaneously.
  10. Ability to establish and maintain effective working relationships with a diverse group of employees, the University Community, and non-university related clients from across the nation and the world.
  11. Ability to plan, organize and schedule in an efficient, productive manner and target projects or initiatives that require special attention and the ability to focus on key tasks when faced with limited time and/or resources.
  12. Ability to work effectively in an environment in which the parameters may change daily and to adjust behavior to meet the needs of different people and situations.
  13. Demonstrate energy and desire to achieve and ability to take action that no one has requested to improve or enhance job results and avoid problems.
  14. Ability to demonstrate creativity and flexibility in working on events with a variety of constituent groups
  15. Demonstrate ability to work collaboratively with a diverse student and staff population.
