Financial Office Manager| Tulsa, OK

Overview: We are seeking a meticulous and experienced Financial Office Manager to join our client’s team. The ideal candidate will possess a strong understanding of financial systems, excellent organizational skills, and the ability to manage multiple tasks efficiently. As a Financial Office Manager, you will oversee various financial functions including accounts payable, payroll, billing, collections, and more.

Responsibilities

Financial Management

  • Utilize QuickBooks for efficient handling of accounts payable, including coding invoices, printing checks, and managing payments via EFT.
  • Conduct monthly financial tasks such as entering charges in the general journal and reconciling bank statements to ensure accuracy.
  • Prepare and distribute billing reports to relevant departments and stakeholders.
  • Process bi-weekly payroll electronically, ensuring timely delivery of checks and accurate payroll reporting.
  • Coordinate with third-party services for insurance updates and credential renewals.
  • Maintain compliance with FDA regulations by managing donor documentation and ensuring timely renewal of licenses and registrations.

Administrative Support

  • Manage office phone system, including updating holiday schedules and employee extensions.
  • Handle incoming office mail and distribute it accordingly.
  • Patient Billing and Collections:
  • Post cryo charges quarterly and facilitate recurring payment arrangements with patients.
  • Send reminder letters to patients regarding overdue balances and escalate collections if necessary.

EMR Management

  • Manage EMR system, including setting up schedule templates and troubleshooting issues.
  • Ensure timely entry and organization of patient documents in EMR.
  • Generate reports from EMR as needed.
  • Other Responsibilities:
  • Assist with additional tasks as needed to support the clinic.
  • Available for after-hours and weekend work as required.

Qualifications

  • Proficiency in QuickBooks and other financial software required
  • Strong attention to detail and organizational skills.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple tasks and prioritize effectively.
