Responsibilities:

  1. Reception Duties:
    • Greet and welcome visitors in a warm and professional manner.
    • Answer, screen, and forward incoming phone calls.
    • Provide accurate information in-person and via phone/email.
    • Manage the reception area, ensuring it is tidy and presentable.
  2. Administrative Support:
    • Assist various divisions with clerical tasks, including data entry, filing, and photocopying.
    • Prepare and distribute internal communications, memos, and reports.
    • Manage office supplies inventory and place orders when necessary.
  3. Customer Service:
    • Address visitor and employee inquiries and direct them to the appropriate division or individual.
    • Handle and resolve complaints or escalate issues to the appropriate division or manager.
  4. Communication:
    • Coordinate with different divisions to ensure smooth communication and efficient operations.
    • Coordinate with maintenance and cleaning staff to maintain office standards.
    • Facilitate the dissemination of important updates and announcements.

Qualifications:

  • High school diploma or equivalent; additional qualifications as an Administrative Assistant or Secretary will be a plus.
  • Proven experience as a receptionist, front office representative, or similar role.
  • Proficiency in Microsoft Office Suite.
  • Professional attitude and appearance.
  • Solid written and verbal communication skills.
  • Ability to be resourceful and proactive when issues arise.
  • Excellent organizational skills and attention to detail.
  • Multitasking and time-management skills, with the ability to prioritize tasks.
  • Customer service attitude.
