Job Overview:

As the Administrative Assistant, you will be responsible for maintaining the refreshment areas, breakroom, and office supply levels, including reordering items as needed. This role requires managing the front desk by answering and transferring phone calls, monitoring control access boxes for guest and delivery entry, receiving and sorting mail, and maintaining a clean reception area. Additional duties include supporting the Accounts Payable, Accounts Receivable, and Human Resources departments including entering receipts, preparing checks for mailing, reconciling credit card statements, and managing onboarding packets. You will love this role if you are a helper at heart with strong organizational skills, attention to detail, and the ability to communicate effectively with staff and visitors.

Requirements

  • You are the first face people see while you’re preparing the office for the day: brewing coffee, setting out snacks, and stocking shared office amenities.
  • You’re proactive and take ownership over maintaining a fully stocked office, managing inventory and ordering office supplies.
  • You answer calls with positivity and ensure the line is successfully transferred to the correct teammate
  • You monitor the control access box to ensure guests and deliveries are able to enter the property seamlessly.
  • You ensure mail is properly sorted and delivered to the right teammate.
  • You know that our office appearance is key to making an impact on guests and clients, so you take pride in keeping the reception area orderly and coordinate with janitorial staff on needed assistance.
  • You dip your toe into accounts payable, accounts receivable and HR support including:
    • Entering receipts daily from field employees, oil changes, and credit card statements.
    • Matching check stubs to correct paid invoices.
    • Keeping oboarding packets for each project administrator
    • Making new job folders and filing them
    • General assistance with filing

Benefits

The hourly compensation for this position is $20.00. The successful candidate's actual base compensation will be based upon a variety of factors, including but not limited to work experience, job related knowledge, skills and professional qualifications.
