Job DescriptionJob DescriptionSummary: This position is responsible for providing administrative support to respective department(s).
Key Roles:
Administration
- Provide support to Human Resources Manager (i.e., prepare for new hire orientations, post job openings, oversee employee uniform reimbursement, etc.)
- Provide support to Credit Manager (i.e., compile monthly reports, recordkeeping, prepare documents, etc.)
- Provide support to CEO (i.e., organize and document charitable giving, special projects, etc.)
- Provide support to other departments and other administrative personnel as needed
- Record and document organization and management
Communications
- Serve as liaison between company and marketing agency
- Organize and distribute mailings, brochures, company announcements, and other company communications in a timely manner
- Maintain employee cell phone and email databases
Meetings, Conferences, and Special Events
- Coordinate and provide meeting support for team events including luncheons and off-site meetings (i.e., scheduling meetings rooms, coordinating food, logistics, etc.)
- Plan and coordinate employee and customer events (i.e., booking venues, collaborating with caterer, gift and promotional items, logistics, etc.)
- Prepare meeting agendas, gather relevant documents and materials, notetaking, and documenting meeting minutes
- Travel arrangements: Book flights, accommodations, and transportation for business trips, conferences, and other travel needs
Marketing and Public Relations
- Assist marketing agency with advertising and public relations campaigns
- Maintain company website by routinely monitoring and updating
- Assist in ordering and maintaining supply of promotional materials
- Represent company at career fairs and other events
Safety
- Hold self and others accountable to safety policies and safe behaviors
- Maintain a safe, sanitary workplace in compliance with company policies and regulatory agencies
- Report unsafe conditions
Knowledge, Skills & Abilities:
- Proficient computer skills with the ability to learn other key operational computer programs
- Ability to effectively communicate both verbally and in writing
- Strong analytical and decision-making abilities
- Ability to remain flexible in a rapidly changing environment
- Excellent organizational skills including multi-tasking, planning, prioritizing, and delegating
- Ability to establish and maintain effective relationships with customers, employees, and supervisors
Certifications, Licenses, Registrations:
- Valid driver's license
Qualifications:
- Associate's Degree in Business, Office Technology, or related field and/or equivalent experience
- Minimum of three (3) years of administrative experience
Working Conditions:
Position operates primarily in an office environment. Requires sitting for prolonged periods and working on a computer. Employee must be willing to work occasional weekends, seasonal hours, holidays, and overtime if needed.
