Position Overview


The Auction Operations Associate is responsible for executing daily operational tasks to prepare private collections for sale or auction. Working closely with Auction Buyers, this role contributes to a positive team environment while aligning with company culture and goals. The position involves handling collections, managing inventory, and ensuring accurate documentation and communication throughout the auction process.


Principal Responsibilities

  • Collection Management: Receive wines from shipping, internal pick-ups, or drop-offs; update the Auction Tracker promptly. Check in collections, perform precise inventory counts, and sort bottles from mixed quotes.
  • Communication: Report any discrepancies to the Auction Buyer in a timely manner.
  • Authentication & Condition Assessment: Accurately authenticate bottles, note their condition, and escalate questions regarding provenance or condition as needed.
  • Order Creation: Collaborate with the Auction Buy Team to create accurate purchase orders (POs) and SKUs for Old & Rare inventory using Quote Builder and KLMaint.
  • Auction Prep: Prepare auction photos meticulously, arrange bottles by lot, and label each bottle and box appropriately.
  • Team Collaboration: Work with multiple Auction Buyers to ensure the completion of each quote and use the proprietary app (TCB) for bin locating.
  • Knowledge Maintenance: Develop and maintain knowledge of K&L’s Style Guidelines for accurate SKU creation.
  • Client Advising: Conduct in-person inventories and advise clients on auction suitability and sales potential.
  • Logistics Coordination: Assist with the shipment or transfer of auction orders.
  • Customer Service: Address and resolve email and phone requests clearly and promptly.
  • Team Environment: Contribute to a positive team atmosphere, offer assistance, and demonstrate awareness of company culture and goals.
  • Facility Maintenance: Maintain safety, cleanliness, and organization in line with company policy.


Requirements

  • High school diploma required.
  • Minimum of 2 years’ experience in a retail or warehouse environment; experience with wine preferred.
  • Ability to lift and carry up to 50 lbs, ability to stand and walk for up to 8 hours per day, ability to load, unload, and operate a hand truck safely.
  • Must work Sundays, hours are 7am-4pm
