Viking Cues, an MRA member, is recruiting for a permanent, part-time or full-time Administrative Assistant.

Viking Cue Manufacturing LLC, located in Middleton, WI, has been manufacturing handcrafted custom cues since 1965. To meet the increasing demand for our products, Viking Cue is seeking an exceptional Administrative Assistant to join our team. Office Hours are 8:30-5:00 Monday – Friday and flexible part to full-time hours would be range from 30-40 hours per week. The ideal candidate will be a reliable self-starter with a keen eye for detail who takes pride in their work. The vacancy is available for immediate start.

Responsibilities:

  • Answer inbound calls and provide customer support regarding product information/pricing, repairs, special order information, quotes, order status, price/quantity deviations, etc.
  •  Create and maintain customer files. 
  • Establish and maintain positive working relationships with customers by ensuring the best possible customer satisfaction by providing product and delivery information.
  • Use computerized systems to create and maintain the customer database, ensuring accuracy and timeliness.
    • Create customer sales orders, send order acknowledgements to the customer, and provide any other support needed to fulfill customers’ requirements.
    • Engage and service customers by answering customer inquiries, resolving complex problems with the highest level of customer satisfaction.
    • Troubleshoot customer issues.
    • Generate work orders for production as required.
    • Back-up support requirements: A/R support, shipping.
  • Prepare documents, letters, correspondence, etc. as needed.
  • Collaborate with other departments to develop a thorough understanding of products and processes.
  • Provide administrative support to the team, including but not limited to scanning, filing, sorting mail, and managing office supplies – stock and reordering.
  • Use customer feedback to make recommendations to the team for improvements of products and services.

Professional / Personal Characteristics:
  • Proactive and positive attitude is a must.
  • Possess drive and ambition, as well as enthusiasm.
  • Great telephone presence and excellent writing skills.
  • Ability to learn and adapt to new software.
  • Reliable, organized, detail oriented, self-starter, and able to multitask.
  • Demonstrated interpersonal skills & problem-solving abilities.
  • Knowledge of the billiard cue industry is helpful but not a must.
Proficient In:
  • Data entry and computer expertise are a must.
  • Microsoft Office Suite Proficiency (Microsoft Word, Outlook, Excel)
  • Experience with QuickBooks accounting software.
  • Experience in a sales environment.
  • Experience using eCommerce and web apps or related technology.
  • Database and asset management.
