Payroll Processor

Job Summary:
The Payroll Processor must be able to work accurately, thoroughly, and confidentially. This position requires excellent time management skills and the ability to perform tasks in an organized manner to meet all deadlines, including but not limited to, calculating hours and pay amounts, processing employee changes and deductions, preparing checks and direct deposits, making payroll tax deposits, resolving discrepancies, and making adjustments, distribution of W-2’s, and other monthly or year-end analysis.
Duties and Responsibilities:
- Assist with the preparation, review, and processing of weekly payroll for approximately 600 field employees. (Union and non-union craft workers)
- Data entry of 40-80 timecards weekly.
- Verifies and maintains current data on new hires, rehires, terminations, and changes in Spectrum software.
- Create Separation Notice for each field employee as they separate from the company.
- Assist with Certified Payroll reporting on weekly basis.
- Assist with shift premiums on weekly basis.
- Fold and insert paper direct deposit remittance or paper payroll checks into envelopes for mailing weekly.
- Review and manage all correspondence regarding employee garnishments and child support weekly.
- Provides customer service to employees and managers to explain check calculations.
- Scan and upload necessary employee documents into Spectrum software for safekeeping.
- Update employees physical master file with original paper documents.
- Complete and distribute payroll reports weekly and monthly.
- Review, process, and report withholding tax to IRS daily.
- Assists the Field Payroll Manager, Assistant Controller, and team members with various payroll or accounting related projects.
- Performs other duties as assigned.
Required Skills/Abilities:
- Excellent time management skills and ability to meet daily and weekly deadlines.
- Desire to work in a fast-paced environment with high volume and have a strong and positive working relationship with all employees.
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percentages and use a 10-key.
- Must possess strong communication skills including verbal, written and interpersonal skills
- Proficiency in MS Office, especially Excel and possess basic knowledge of office management systems and procedures.
- Ability to multi-task and prioritize work and have strong attention to detail.
- Must have excellent organizational skills and be a team player.
- Ability to read and comprehend simple instructions, short correspondence, and memos.
- In order to meet daily and weekly deadlines, some overtime may be required. In a work week that has a holiday, additional hours may be required before or after holiday to ensure weekly payroll is completed and all deadlines are met.
Education and Experience:
- High School Diploma or GED is required.
- Six months to 1-year related experience and/or training.
- Prior experience in high volume payroll processing is preferred, but not required.
- Previous experience with Davis-Bacon / Certified Payroll preferred, but not required.
Physical Demands/Working Conditions:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
