JOB SUMMARY:

The Administrative Assistant provides support to the office by supporting the leadership of our Industrial Air Solutions Office location(s) in customer collections, supporting office-related administrative tasks, and providing support for special projects and key initiatives.

This position may involve working with confidential and sensitive data and information. The successful candidate will exercise discretion and good judgment, maintain a high energy level and positive attitude, and easily adapt to changes in a fast-paced, excellence-driven environment.

ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Proactively follow up on customer account invoices to ensure invoices are paid in a timely manner
  • Interact with staff (Project Management, Finance, GM’s) in a fast-paced environment on customer accounts.
  • Assisting team members as required, contributing to a collaborative work atmosphere.
  • Communicating effectively with both internal team members and external customers.
  • Support and assist with special projects.
  • Perform miscellaneous administrative services and clerical job-related duties as needed.
  • Other job duties as assigned.

EDUCATION AND EXPERIENCE:

  • 2-3 years of experience as an Administrative Assistant, with a focus on customer collections
  • Demonstrated capacity to work independently and efficiently, managing tasks effectively.
  • Punctuality, reliability, and a strong sense of responsibility, including the ability to handle confidential information with care.
  • Professional demeanor and appearance, reflecting a commitment to maintaining a high standard of representation.
  • Strong team player and self-starter.
  • Demonstrate strong problem-solving skills.
  • Excellent oral and written communication skills.
  • MS Office with solid Word and Excel skills.

LICENSING/CERTIFICATIONS:

COMPETENCIES

KNOWLEDGE IN:

  • Clerical — Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, stenography and transcription, designing forms, and other office procedures and terminology.
  • English Language — Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
  • Customer and Personal Service — Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
