General Position Summary: In collaboration with parish leadership, is responsible for providing secretarial & clerical support to parish clergy and staff, to include receptionist duties while serving at the reception desk in order to assess needs and better serve the parishioners/visitors to the parish office.

Principal Accountabilities:

- Provide hospitality for those who call or come in to the parish office by greeting & assisting visitors and/or providing general information and refers them to the appropriate personnel or location.

- Responsible for gathering & editing information for publication in Church bulletin to include preparing bulletin for final printing and submitting to publisher by deadline. Once received from publisher, coordinates the delivery of published bulletins to the Churches for weekend distribution. On annual basis, compiles original weekly bulletins and submits to publisher, before publisher’s deadline, for processing of parishes hardbound annual bulletin archive.

- Assist in the communication and gathering of documents needed for various sacraments administered at the parish. Coordinates with other parishes/entities to gather information throughout the process.

- Responsible for entering parishioner sacramental records in parish record books and updates the accurate information in the data base system via ParishSoft software.

- Schedule Mass intention requests and maintain the appropriate information in the Mass Intention book.

- Assist in registering new parishioners and record the accurate information via ParishSoft to include coordinating sign-up and discontinuing of Church offertory envelopes with company who provides/distributes envelopes for our parish.

- Prepare and send pertinent information (Holy Day Mass reminders/functions/events/funeral and Church info, etc.) via MyParish

- Receive, sort and distribute mail/packages via staff mailbox.

- Maintain inventory of office supplies and place orders as needed.

- Responsible for keeping the parish roster up to date via ParishSoft software.

-Record Staff Meetings and prepare meeting minutes.

-Provide clerical assistance to parish staff and visitors, as needed.

- Responsible for all other projects, tasks, etc., as assigned

Typical Decisions and/or Recommendations Made in This Position:

- Once the parishioner is received, determines the need and schedules the appointment with clergy.

- Manages information that is presented for publication in the parish bulletin.

Supervision Given and/or Received:

- Supervision will be received from the Pastor.

Working Conditions and/or Physical Requirements:

- This position works in a typical office environment, but, at times, is subject to stress due to the evolving and quickly expanding business needs, tight deadlines and heavy workloads.

Travel Requirements:

Education and Experience Preferred:

  • High School Diploma or GED (required)
  • Bilingual
  • Work experience (1-3 years) in an office environment.

Knowledge and Skills Preferred:

  • Customer service.
  • Great communication skills both written and verbal.
  • Detail oriented.
  • Ability to multi-task.
  • Dependable.
  • Organized.
  • Familiarity with Microsoft Office.
  • Data Entry experience.
