Position Overview: The Administrative Assistant will play a crucial role in supporting the efficient operations of Nichiha's warehouse facility. The primary responsibilities will include handling administrative tasks such as printing Bills of Lading (BOLs), closing orders in the IFS, printing Pick Tickets, loading photos into the IFS database, and providing exceptional customer service by fielding calls from carriers and addressing customer inquiries. Additionally, the Administrative Assistant will be expected to assist with various other office duties as required to ensure smooth day-to-day operations.

Key Responsibilities:

  1. Printing Bills of Lading (BOLs) accurately and efficiently to accompany outgoing shipments.
  2. Closing orders in IFS upon completion of shipments or receipt of goods.
  3. Printing Pick Tickets to facilitate order fulfillment and warehouse picking processes.
  4. Uploading and organizing photos of shipments and inventory into the IFS database for record-keeping and quality control purposes.
  5. Fielding incoming calls from carriers regarding shipment schedules, delivery statuses, and any issues or inquiries.
  6. Providing exceptional customer service by addressing customer inquiries, resolving issues promptly, and ensuring customer satisfaction.
  7. Assisting with various other office duties as required, which may include data entry, filing, inventory management, and supporting other departments as needed.

Qualifications:

  • High school diploma or equivalent; additional education or certification in office administration or related field is a plus.
  • Proven experience in an administrative role, preferably within a warehouse or logistics environment.
  • Familiarity with warehouse operations, shipping procedures, and inventory management systems (e.g., IFS) is highly desirable.
  • Strong computer skills, including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with database software.
  • Excellent communication skills, both verbal and written, with a professional and courteous demeanor.
  • Ability to multitask, prioritize tasks efficiently, and work effectively in a fast-paced environment.
  • Detail-oriented with a high level of accuracy in performing administrative tasks.
  • Strong organizational skills and ability to maintain accurate records and documentation.
  • Flexibility to adapt to changing priorities and willingness to assist with various tasks as needed.
