We are currently seeking a motivated and detail-oriented Intake Coordinator to join our dynamic team at our New York office for our Colorado region.

Job Overview: As an Intake Coordinator at Treetop ABA Therapy, you will play a crucial role in ensuring that all client records and data are meticulously maintained and safeguarded. You will be responsible for facilitating a smooth intake process, managing client pipelines, and enhancing our marketing efforts to connect with new families and referral sources.

Key Responsibilities:

• Serve as the initial point of contact for families inquiring about our ABA services, providing them with comprehensive information.
• Guide clients through the admissions process, including status updates, timelines, and required documentation.
• Follow up with families on waitlists and those who have inquired about services, ensuring satisfaction and timely communication.
• Build and maintain positive relationships with families, team members, and key stakeholders.
• Collaborate effectively with partner organizations, other providers, and referral sources.
• Daily review and update CRM to maintain accurate intake information and metrics.
• Complete new client onboarding checklists and coordinate status indicators across multiple platforms.
• Communicate openly and honestly, demonstrating strong team collaboration and responsibility.
• Work with families to collect necessary paperwork and coordinate with diagnosing physicians as needed.
• Gather and verify insurance information, coordinating with the insurance team to determine covered services and benefits.
• Act as the primary point of contact with the insurance verification team.
• Facilitate the referral and intake process to ensure timely access to ABA therapy.
• Participate in weekly team meetings to coordinate service initiation.
• Complete all mandatory trainings required by the state, county, and organization.
• Develop and maintain the client pipeline through marketing efforts, including outreach to referring providers.
• Perform other duties as assigned.

Qualifications:

• Prior office experience preferred.
• High school diploma or equivalent.
• Understanding of ABA fundamentals.
• Previous customer service experience.
• Intake Coordinator experience is a plus.
• Strong communication and organizational skills.
• Ability to work collaboratively with diverse stakeholders.

Schedule:

• 8-hour shift
• Monday to Friday
• Office hours for this role: 10:30 AM to 6:30 PM EST

Location:

• Inwood, NY 11096 (Relocation required if not currently residing in the area)
