Summary

As an Accounting Assistant, you will provide administrative support to the SWFL offices.

Essential Duties

  • Handle incoming phone calls promptly and professionally. Greet and assist walk-in customers.
  • Manage administrative tasks, including preparing rental agreements, coordinating vehicle pickups and returns, and handling all necessary paperwork.
  • Ensure proper insurance and down payments obtained prior to rentals leaving premise.
  • Administration of customer accounts related to billing and payments.
  • Post daily accounts receivable payments accurately, including credit card and cash payments.
  • Review credit applications and assist with determining credit limits for new customers.
  • Conduct credit collection calls as needed.
  • Contacting Rental customers for mileage and create necessary invoicing.
  • General filing and scanning of documents.
  • Assist with various accounting procedures such as reconciliations and posting numerous journal entries.
  • Assist in inventory management, including ordering office supplies and maintaining stock levels.
  • Sort and collate incoming and outgoing mail.
  • Other duties as assigned.

Qualifications

  • Strong interpersonal and communication skills
  • Computer proficiency
  • Working knowledge of Microsoft Office
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • Basic understanding of accounting principles is preferred

Education and/or Experience

  • High School Diploma and/or General Education Degree (GED) is required
  • Prior office experience preferred

Language Skills

  • Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients and other employees of the organization.
  • Ability to read and interpret documents such as rules, operating and maintenance instructions and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

Reasoning Ability

  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.
