RESPONSIBILITIES AND JOB ACTIVITIES

1. Answer incoming phone lines courteously and efficiently.

2. Learn and maintain product knowledge.

3. Process customer orders through order entry system, per company standards. Become knowledgeable of product information including checking order status, verify product availability, pricing, applicable discounts, special private label orders.

4. Process literature and sample requests as per protocol.

5. Design and set up formats, files and shell documents with the highest degree of accuracy and speed to obtain results desired for variable letters and reports.

6. Assist with special projects as necessary.

7. Maintain a neat, orderly and clean department and work environment.

8. Perform various duties and overtime as required.

9. Be familiar with and follow safety rules and emergency procedures.

10. Maintain inventory of Bell and/or Motomco literature and order when necessary.

11. Greet visitors.

12. Perform daily opening and/or closing office duties.

13. Operate office equipment such as fax, postage meter & scale, and copier.

14. Perform various clerical duties including, but not limited to: photocopying, mail distribution, process faxes.

15. Create and maintain files, typing, invoice and general files, using an established basic filing system.

16. Maintain inventory levels of coffee supplies and maintain adequate supply of fresh coffee.

17. Greet job applicants and vendors.

JOB SPECIFICATIONS

EDUCATION High School diploma or equivalent is required.

EXPERIENCE Candidate must be bilingual in Spanish. Minimum one year office experience required. One year phone and Microsoft office experience preferred. International (import/export) experience is a plus.

KNOWLEDGE, SKILLS & ABILITIES Ability to work with limited supervision is required. Professional, hard-working team player who is accurate, detail orientated and has problem solving skills. Self-motivated individual with effective written and verbal communication skills. Organized and dependable and must be able to work with all types of personalities and situations with the utmost professionalism and diplomacy. Bilingual a plus.

EQUIPMENT OPERATED Standard office equipment such as a computer, copier, fax machine

PHYSICAL REQUIREMENTS Hand-eye coordination for typing.
