Reports To: Fleet Manager
POSITION SUMMARY: The Fleet Coordinator is responsible for supporting daily Fleet Management communications and activities. This position is the first point of contact for internal day-to-day fleet activities and priorities, including fuel management, GPS-telematics, registration renewal, maintenance and repair, accident management etc.
ESSENTIAL JOB FUNCTIONS:
- Provide administrative support to team to manage vehicle and driver records, review inventory, and asset allocation.
- Support operations and facilities leadership to keep current fleet in service, activate delivered assets quickly and coordinate disposal of retired vehicle assets.
- Coordinate Accident Management activities for the initial gathering of information, photos, statements, etc. from branch location contacts and provide this information to internal team members for evaluation. Conduct follow-up information gathering as directed.
- Maintain up to date communication with internal stakeholders to keep stakeholders informed on status of accident claims, vehicle maintenance, registrations, fuel programs, violations, insurance cards and other fleet related correspondence until resolution.
- Work with Executive Fleet Leasing, Holman Fleet Management Company, and other fleet team members to maintain accurate vehicle records to ensure data integrity, proper cost accounting and credible reporting.
- Identify, file, and escalate all DOT/FMCSA regulation items/documentation, such as roadside inspection forms, annual DOT vehicle inspections, and MCS-150 updates. =
- Track product orders to ensure smooth and efficient processing of fuel cards, fuel pins, GPS & toll transponders, and vehicle decals.
- Provide detailed and clear reporting of all support efforts and related communications pertaining to customer support issues to fleet supervisors and managers. Promptly execute directions and guidance from fleet supervisors and managers.
- Assist Operations with daily registration pre-requisites to support timely renewals.
- Assist Operations with installing vendor software and/or equipment and troubleshoot GPS technologies.
- Seek appropriate approvals from fleet team management for Operations requests for access to Fleet systems including GPS, fuel, tolls, and other related items.
- Other job duties as assigned.
SKILLS AND ABILITIES:
- Ability to balance multiple responsibilities simultaneously to ensure efficiency of the fleet department in support of operation's needs.
- Must possess time management skills in day-to-day tasks to prioritize administrative duties and communications to and from internal fleet team management.
- Ability to adapt to changing environments and being open to seeking diverse and unexpected solutions to problems and challenges.
- Must have excellent written and oral communication skills.
- Strong experience with fleet inventory and asset management systems preferred.
- Strong skills with MS Office 365 applications.
- Some functional understanding of internal database processes such as OneDrive or Sharepoint.
- Detail-oriented.
- In-depth ability to organize internal fleet department records.
- Functional understanding of fleet related nomenclature.
EDUCATIONAL REQUIREMENTS:
- High School Diploma or equivalent is required with some higher education preferred.
PHYSICAL DEMANDS
This position requires close visual acuity to perform activities such as: preparing and analyzing data and figures; viewing a computer terminal; extensive reading; Ability to perceive the nature of sounds at normal speaking levels with or without correction, and making fine discriminations in sound; Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force constantly to move objects; Must be able to remain in a stationary position and/or upright, for prolonged periods of time, traverse stairs, reach overhead, squat, bend, kneel, stoop, and crouch occasionally during 8-10-hour work shift.
