The duties and responsibilities of the First Impressions Liaison includes serving as Receptionist/Concierge for the Sales Office, operating the telephone system, greeting visitors, business contacts, family members and team members, assisting the Sales Team with correspondence and other day-to-day office duties.
Job Description- Greets visitors and answers and directs telephone calls to appropriate person in a timely, professional, and pleasant manner. Escorts visitors to hospitality room.
- Ensures that Sales Department hospitality room is clean, safe, attractive, and well-stocked with beverages and other supplies; orders and maintains supplies for the hospitality room.
- Receive and separate incoming mail for Admin Building.
- Distribute incoming and outgoing mail for Admin Building.
- Maintains inventory of collateral for distribution to prospects and ensures that adequate supplies of brochures, etc., are available for distribution to prospects.
- Schedules package pickups at request of department team members.
- Participates in Sales Team Daily Stand Ups and Weekly Meetings.
- Maintains work area in clean, safe and attractive manner.
- Maintains confidentiality of applicant/resident information as well as departmental information.
- Proactive in networking with other departments, building trust and maintaining positive communications.
- Have strong organizational skills as well as the ability to follow-up, detail-oriented, ability to multi-task; prioritize projects and objectives while meeting deadlines.
- Have proficient computer skills utilizing Microsoft Office, Excel, and Adobe
- Have strong customer service skills.
Education and Experience
- High School Diploma or equivalent
- Have at least one-year previous experience in a clerical or reception role
