The primary responsibility of the Assistant Manager is to oversee the daily business operations for the store you are assigned to under the direct supervision of your stores manager. When the manager is not present you are fully in charge and responsible for your store. Duties include but are not limited to opening and closing the store, managing all teams, cleaning and maintaining all equipment and ensuring products are fresh and up to Froggy’s quality standards while also helping the team handle customers' questions and complaints.


Job Title: Assistant Manager  

Reports to: Manager

Status: Hourly

Function: Provide the highest-quality and results-oriented leadership daily while protecting and

growing the Froggy’s brand.


Requirements 

  • Physical Requirements

    • Must be able to lift 50lbs

    • Must be able to Clean deep fryer and Hood vents 

    • Ability to stand for long hours at a time and work in a fast-paced environment

  • Schedule Requirements  

    • Must be able to work over 40 Hours per week when needed

    • Must be able to work 5 days in a row

    • Must be able to commit to working full shifts on Sundays and Mondays (Open to Close) due to the manager being off

    • Must be willing and able to arrive 30 minutes prior to the store opening when needed

    • Must be able open the store by 6:00 am daily

    • Must be able to stay until 4:30 pm when needed inorder to close properly

    • Must be able to cover shifts when needed if issues arise Fridays and Saturdays 

  • Professional Requirements  

    • Must be able to read and write english

    • Must be able to work 3 Positions - Front end, Kitchen Prep, and Grill (Paid Training)

    • Need to be able to complete and pass the Servsafe Course 

    • Need to be able to complete the sexual harassment training


Responsibilities 

Daily Operations

  • Follow and complete the Daily Operations work procedures checklist

    • Properly open and close the store and registers 

(Refer to In Depth Closing list and In Depth Opening list procedures)

  • Properly clean the deep fryer when needed and bring out to the oil bin

(Refer to deep fryer cleaning guide)

  • Input all orders into POS 

(Refer to Employee Training Slideshow) 

  • Make food orders accurately 

(Refer to Employee Training Slideshow) 

  • Clean and maintain store throughout the day

(Refer to Teams Daily Operations Procedures)

  • Ensure that the Daily Prep List is completed before 11AM 

(Refer to your stores Prep List)

  • Maintain the stores appearance at all times 

(keep the store clean and organized)

  • Everything should be filled, stocked and cleaned daily 

(Refer to Teams Daily Operations Procedures)

  • Provide excellent customer service at all times

    • Ensure that all customers are being properly acknowledged and taken care of quickly and efficiently

  • Ensure that any complaints or issues are handled properly

(Refer to How to handle an unhappy customer guide)

  • Ensure that all phone orders, text orders and confirm and all online orders (including third party apps) are all being handled and completed quickly so that they are ready for the customers or drivers arrival

  • Go above and beyond to make their transaction memorable and great

  • Handle Catering orders and corporate Accounts 

    • Be knowledgeable on how to take catering and corporate account orders. Be able to answer any questions and fulfill requests.

    • Handle and help prepare catering orders and corporate accounts when needed

    • Make sure all catering and corporate accounts are handled properly before the orders leave the store

  • Help with invoices and Billing

    • Receiving distributors orders and making corrections if there is discrepancies 

    • Sending items back when wrong 

    • Paying attention to credits needed and Following up with them

    • Make Sure the invoices are marked correctly for the credits needed

Leadership

  • Be a leader…Not a boss

    • Mentor, Motivate, Inspire and train your Team

    • Manage call outs as needed 

    • Notify your manager of important issues ASAP

    • Keep team busy at all times

    • Assist and answer calls, text or emails from staff. (Even on days off we may have something critical)

    • Make daily lists of things that need to be done

    • Assist in training new and current staff

    • Control the work environment (make it enjoyable but productive)

    • Assist in handling the needs of the team

    • Make sure breaks are being taken (team members first)

    • Make sure conversation going on are appropriate


Scheduling

  • Assist the manager with maintaining team schedules

    • Communicate needs of the team

    • Find and fill issues in schedules 

    • Mediate scheduling conflicts 

    • Adjust schedules due to sales (spikes, dips and catering) and sending people home early 

    • Assist with call outs (Speak to manager to fill it yourself or find the coverage)

    • Handle sending staff home during slow times when needed


Ordering and Managing the Inventory

Daily Ordering

  • Chris Martineli (Rolls, Wedges, Rye Bread and Party Wedges)

    • Reach out through either a phone call or text to update rolls, wedges and catering wedges needed for the next day

    • Calling in and following up on catering bread orders - If you call in a catering wedge and the bread distributor doesn’t get back to you by the same night, you should be reaching back out to them with another text or phone call. Initial them after the wedge is confirmed.


Weekly Ordering

    • Order through Sysco Application (Use only the Master List)

    • Orders must be placed on Sundays and Wednesdays each week

    • Deliveries are dropped off on Mondays and Thursdays

  • Assist manager in maintaining the labor percentage

    • Refer to the Pulse app for real time labor reports

    • Send team home early if the store is slow

    • Call in extra help when needed

    • Make sure that your team understands portion control (Refer to pre cut weight sheet)

    • Make sure your team understands Froggy’s food quality control standards

    • Keep mistakes to a minimum 

    • Checking in orders as they arrive for missing or faulty products

    • Don’t over order and don't under order 

    • Making sure to get credits for bad or faulty products
