BENEFITS SPECIALIST

REGULAR FULL TIME - $28.00-32.00/HR

SHIFTS: MONDAY-FRIDAY  8:30AM-5:00PM – OFFICE HOURS

 

POSITION SUMMARY:

Responsible for coordinating and administrating all company benefits enrollment and tracking; health, medical, dental, vision, life insurance, disability, flexible spending account, Transit benefit, commuter benefit, ESOP, 401(k), benefits during leaves of absence, and COBRA.  

 

ESSENTIAL DUTIES AND RESPONSIBILITES:

  • Affordable Care Act (ACA) compliance
  • Determine eligibility and enrollment in accordance with ACA and as defined by the group plan a well as complete ACA reporting and tracking
  • Track hours worked, change in employee status and effectively communicate with store management
  • Set-up monthly My Health Benefits accounts for eligible employee enrollment 
  • Coordinate and conduct monthly employee enrollment in benefits programs
  • Plan, prepare and conduct annual and bi-annual open enrollment periods for medical/dental/vision, life insurance, FSA, 401(k), Transit benefit
  • Process all requests for 401k distributions and work with TPA to clear all discrepancies and employee education sessions
  • Complete monthly life insurance billing
  • Oversee COBRA enrollment and termination
  • Perform data entry of benefits information in the HRMS, TPA systems and internal tracking census
  • Communicate with payroll and Corporate Bookkeeping Manager for all payroll deductions
  • Provide information to employees on all benefit-related questions and assist employees with benefit questions
  • Coordinate newly eligible benefits orientation and enrollments
  • Responsible for administration of benefits during employees’ leave of absence
  • Maintain inventory of supplies and prepare employee benefits enrollment materials and employee benefit communications
  • HIPAA compliance
  • Serve as a liaison between employees and TPA
  • Assist part time employees in locating available social service and benefits programs
  • Maintain benefit files and records, assuring accuracy, compliance and confidentiality
  • Perform general clerical duties including but not limited to filing, scanning, photocopying, faxing, mailing
  • Demonstrate a high level of professionalism in dealing with confidential and sensitive issues
  • Special projects as assigned.

 

SKILLS & QUALIFICATIONS:

  • High school diploma or general education degree (GED); or equivalent combination of education and experience.
  • A minimum of 3 years’ experience in an administrative role.
  • Prefer 2-3 years of human resources experience in benefits. 
  • Prefer one year of experience on a Human Resource Information System (HRMS)
  • Experience in insurance company payments, EOB, credits, adjustments, FSA and Transit programs.
  • Must have excellent interpersonal skills, well organized and detail oriented.
  • Must have high level of experience in Microsoft Office, with a focus on Excel
  • Bilingual, English/Spanish is a plus.
  • Read, comprehend, and write detailed instructions, short correspondence, and memos.
  • Ability to write simple correspondence and ensure English/Spanish translation.
  • Comfortable with effectively presenting information in one-on-one and small group situations to employees.
  • Ability to add, subtract, multiply, and divide in all units of measure.
  • Ability to compute rate, ratio, and percentage.
  • Elevated understanding to carry out detailed written or oral instructions.
  • High comfort with dealing with problems involving a few concrete variables in standardized situations.

 

CERTIFICATES, LICENSES, REGISTRATIONS:

  • Valid Driver’s License
  • Proof of Vehicle Insurance

 

PHYSICAL DEMANDS & WORK ENVIRONMENT – While performing the duties of this job, the employee is:

  • Regularly required to talk or hear. 
  • Frequently required to sit and use hands and fingers to operate a keyboard or mouse, handle, feel phones, and files.
  • Occasionally required to stand, walk, and reach with hands and arms.
  • Required to occasionally bend and twist at the waist and neck and lift/carry/move up to 20 pounds. 
  • Noise level in the work environment is usually moderate while working in the office. 
  • On occasion the work environment may entail being in a warehouse, store location, or being outside where there is intermittent noise from machinery, activity, and overhead speakers.
