The Construction Support and Closing Coordinator ensures all aspects of the home-buying experience runs smoothly with all parties involved. As the Closing Coordinator you will work directly with the Closing & Relationship Manager to ensure this happens.
Key Responsibilities
- Daily communication with lenders, sales team and home buyers.
- Communicates and follow-up with lenders, title and sales staff to ensure timely closings.
- Manages and drives the closing process between field, inside and outside sales, mortgage companies, warranty, accounting, administration, attorneys, title companies, and homebuyers to ensure all pieces for close are completed in a timely manner.
- Distributes the Closing Report to Construction team and Sales team.
- Communicates with and assist buyers regarding all aspects related to the closing of their new home.
- Answers questions and solves problems for the buyer through communication with other departments.
- Coordinates with Construction and Sales departments the scheduling of all requirements for a timely walk and close.
- Prepares FHA, VA, or other lender-required forms as needed.
- Manages the identification of cancels and coordinate with the Sales team in the cancellation process.
- Submits quarterly reports for rebates.
- Finalizes and send closings per month to Eliant for surveys.
- Provides monthly reports of expected closings and identify and address issues to minimize movement of closings to Director of Construction.
- Reviews and takes actions in customer issues meetings and participates in construction related customer relation issues—What’s Up Team.
- Will create and implement workflow process and decision making of any recurring activity in order to create easier decision making.
Other Duties:
- Keeps all home buyer and trade partner data confidential and secure, mindful of disclosing sensitive data at all times.
- Provides courteous and prompt service to all internal and external parties. Prioritizes and addresses requests and assignments in a professional manner to develop cooperative.
- Identifies opportunities and recommends methods to improve service and work processes (g., procedure optimization). Assists in the implementation of quality improvement initiatives.
- Assists co-workers in the completion of tasks and assignments to ensure continuity of service. Actively supports teamwork throughout the organization.
Qualifications
- Bachelor’s degree preferred
- 3 to 5 years of customer service or administrative experience.
- Ability to identify complex problems and review related information to develop and evaluate options and implement solutions.
- Capable of using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems.
- Must have strong attention to detail and ability to work independently, accurately, and quickly.
- Must be computer literate with the capability of performing at an intermediate or advanced level with Microsoft Office Suite of products or similar software applications.
- Must be highly organized and capable of performing multi-tasking in a fast-paced environment.
- Ability to work effectively with a diverse group of people, including executive management and act as the liaison between various team members and external partners.
- May be required to travel to and work at organization-sponsored events.
- Communications and Collaboration Project specialists actively participate in project work groups and committees, and they provide recommendations to achieve goals. They facilitate meetings, contribute to planning and decision making, coordinate project resources and liaise with project stakeholders to collect and disseminate project information.
- Project specialists communicate effectively in both oral and written forms to a variety of stakeholders. They deliver engaging, informative and well-organized presentations, provide status reports and progress updates as needed and communicate difficult or sensitive information tactfully.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift 15 pounds at times.
